About the role

Whatnot is the largest live shopping platform in North America and Europe, enabling users to buy, sell, and discover items ranging from trading cards and fashion to electronics and live plants. Sellers build real businesses across hundreds of categories, and the company is pioneering live commerce at unprecedented scale in the West. As a remote‑co‑located team with hubs in the US, UK, Ireland, Poland, Germany, and Australia, Whatnot moves fast, stays close to users, and focuses on high‑impact work.

This is a six‑month contract role with the potential to convert to a full‑time employee at the end of the contract period. Team members are required to be within commuting distance of the San Francisco or Los Angeles hubs and are open to occasional in‑office work.

Responsibilities

  • Own scheduling logistics across all teams and time zones — ensuring interviews are confirmed accurately and both candidates and interviewers have all necessary details.
  • Collaborate closely with recruiters and hiring managers to manage complex scheduling, proactively flag conflicts, and communicate updates clearly and promptly.
  • Leverage Ashby for scheduling, tracking, and analytics — automating workflows where possible to improve efficiency and maintain a consistent candidate experience.
  • Track and report recruiting metrics to keep the hiring team informed and identify opportunities to optimize the recruiting process.
  • Drive recruiting enablement, including maintaining documentation, helping with trainings, and fielding ad hoc requests.
  • Build strong partnerships with recruiters and hiring managers to anticipate scheduling or process challenges and resolve them before they become blockers.
  • Contribute to team projects and initiatives, taking ownership and driving them to completion with minimal supervision.

Qualifications

  • At least 1 year of experience as a Recruiting Coordinator, ideally in a fast‑paced or startup environment.
  • Highly organized: able to balance multiple priorities with precision and always follow through on commitments.
  • Proactive and dependable: anticipates needs, communicates effectively, and takes initiative rather than waiting for direction.
  • Candidate‑obsessed: cares deeply about creating a smooth, human experience for every candidate and hiring partner.
  • Tech‑savvy: comfortable using recruiting tools like Ashby and curious/resourceful when learning new systems.
  • Collaborative: builds trust across teams and enjoys being a helpful, reliable partner.
  • Growth‑mindset: welcomes feedback, looks for ways to improve, and leans into action to make an impact.
