About the role

The Records Archivist analyzes, purges, scans, verifies, preserves, and provides access to LCPS student records while adhering to established records-management guidelines. The role maintains record-keeping systems—including the student information system, enterprise content management system, and online records-request portal—and serves school departments, alumni, the public, businesses, legal professionals, court personnel, municipal boards, state and federal employees, vendors, and other town and school departments. All contacts require courtesy and discretion when handling highly confidential student information.

Responsibilities

  • Provide administrative support to the Records Supervisor
  • Adhere to professional code of ethics while dealing with confidential information
  • Comply with FERPA and Library of Virginia Records Management Guidelines for student records
  • Analyze, investigate, and resolve discrepancies prior to archiving and purging critical records
  • Locate archived records upon request
  • Utilize an online records system to fulfill records requests and verifications of enrollment
  • Ensure integration between enterprise systems for student records
  • Work cooperatively with schools regarding the proper handling and disposition of student cumulative files
  • Fulfill school supply requests for student cumulative folders

Requirements

  • High School Diploma or GED
  • Experience in customer service, discretion, and teamwork
  • Experience using databases, student information systems, and enterprise content management systems

Skills

  • Research, analyze, compile, and summarize data; identify procedural problems and make corrections
  • Determine and set work priorities, maintain confidentiality, work independently and effectively under pressure
  • Strong oral and written communication skills; strong interpersonal skills
  • Work effectively with diverse audiences (parents, school-based employees, central office administration, private agencies)
  • Strong analytical, organizational, and research skills
  • Knowledge of modern office practices and procedures
  • Proficiency with standard office appliances (desktop PCs, Microsoft Office Suite, scanners, printers, photocopiers)
  • Perform continuous routine and repetitive office machine operation accurately and quickly
  • Communicate effectively and work cooperatively with others under pressure and with frequent interruptions

Physical Requirements

While performing the duties of this job, the employee is regularly talking, expressing or exchanging ideas by means of the spoken word and must convey detailed or important spoken instructions accurately, loudly, or quickly. The employee must possess normal cognitive abilities including the ability to learn, recall, and apply practices and policies. Frequently sitting and/or remaining in a stationary position for long periods of time. Exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

Pay

Salary range: $27.34 – $35.18 per hour. Full compensation details are available at https://www.lcps.org/compensation.

Schedule

12 months / 254 days / 8 hours per day. Partial remote-work eligibility.
