Summary
The Part-Time Receptionist serves as the first point of contact for callers, customers, and visitors, operating a multi-line telephone system to answer and direct incoming calls efficiently. Under direct supervision, this role performs a variety of administrative and clerical duties, including computer-based work and other routine assignments as needed. The Receptionist interacts professionally with customers, team members, and third-party vendors/partners, ensuring a positive experience and delivering exceptional service in support of business operations.
Essential Duties & Responsibilities
- Welcome on-site visitors, determine nature of business, announce visitors to appropriate team members.
- Answer incoming telephone calls, determine purpose of caller, forward calls to appropriate team member or department, or takes messages as required.
- Create, maintain, and distribute telephone lists and spreadsheets as required.
- Answer questions about the organization and provide callers with branch address, directions, and other general information.
- Perform clerical duties as needed, such as scanning, filing, copying, creating and maintaining digital documents as assigned.
- Receive, sort, and route mail and packages. Notify recipient and follow up as needed.
- Absorb outgoing mail/packages and use postage machine.
- Manage employee parking pass records and provide updates as needed.
- Coordinate seasonal and holiday décor within the lobby and common areas to maintain a welcoming and professional environment.
- Maintain accurate employee parking pass records and provide updates as needed.
- Manage beverage inventory for office refrigerators, including restocking, product rotation, and inventory coordination with the accounting team.
- Maintain and track visitor badge inventory and usage, ensuring accurate records, timely badge recovery, and compliance with facility security protocols.
- Follow all company safety policies, procedures, and work instructions, including completing required safety training and always applying safe work practices.
- Immediately report any workplace accidents, near misses, hazards, or unsafe conditions to a manager or through an appropriate reporting channel.
- Participate in safety discussions and communicate concerns or feedback openly to help maintain a safe work environment.
- Use tools, equipment, and protective gear properly to prevent injuries and incidents.
- Perform other duties as assigned.
Education & Experience
- High School Diploma or equivalent required.
- Type 40 wpm.
- Strong understanding of Microsoft Outlook, Word, Excel and working with PDF documents.
- Basic understanding of workplace safety practices and applicable OSHA requirements.
- Ability to consistently follow safety rules and contribute to a positive safety culture.
