About the Role
Serve as receptionist for a school or department, providing a friendly and helpful atmosphere for visitors and directing incoming telephone calls courteously. While this role may include routine general clerical tasks, the primary focus is on receptionist duties specific to a school or departmental setting.
Responsibilities
- Receive a high volume of telephone calls and/or visitors using telephone “switchboard” equipment such as a PBX system or advanced telephonic transmission systems; maintain an attractive and comfortable reception area.
- Answer questions from callers according to district policy and take messages for staff members.
- Maintain alphabetical files of staff members' names, room locations, and telephone extensions to expedite call relaying.
- Keep records of toll charges and incoming collect calls for the business office.
- Report telephone problems to the telephone company as they arise.
- Greet all visitors courteously, determine their needs, and direct them to the proper person.
- Report immediately any visitor who bypasses the reception desk or any suspicious activity/unusual behavior.
- May assign and monitor student office assistants.
- Order, receive, examine, and distribute supplies; review and route mail to correct destinations; assist with processing records.
- Perform other routine general clerical tasks, assisting other clerical/secretarial staff as needed, using standard office equipment.
Requirements
- High School diploma or GED, including or supplemented by commercial/business coursework.
- Some successful general clerical experience.
- Good knowledge of business office procedures, practices, and equipment, including phone receptionist procedures and telephone board/equipment operations.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to type at an approved rate of speed; operating personal computers is highly desirable or required at some assignments.
- Ability to understand and follow written and oral instructions and perform general clerical tasks.
- Ability to establish and maintain successful working relationships with the public, school system staff, and fellow employees.
- Congenial personality with the ability to converse professionally in all situations.
- Excellent human relations and interpersonal skills.
Physical Requirements
- Work is performed in classrooms, offices, workstations, and meeting rooms.
- Occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying items weighing less than 40 pounds (e.g., books, papers, presentation materials).
- Regular use of hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear.
- Specific vision abilities required include close vision, color vision, and the ability to adjust focus.
- Attendance at conferences and professional development is required.
- Work involves everyday risks and discomforts requiring normal safety precautions when operating equipment or performing job duties.
- May work prolonged or irregular hours and must maintain emotional control under stress.
- Fine motor skills required to operate telephonic equipment.
- Excellent vocal characteristics.
- Most tasks are performed in a sedentary work environment, with occasional sitting, walking, standing, bending, and reaching.
- Ability to type/operate a computer keyboard.
- Ability to transfer, move, and shelve supplies and materials weighing 20 pounds or less manually or with assistance.
- High volume of phone calls at times; work is subject to frequent interruptions.
- May involve contact with irate students, parents, or the public; must handle stressful situations as necessary.
Schedule
School Year 2026-2027 (238-day calendar). This position might offer flexible work options, including the possibility of working some days remotely from home at the discretion of the supervisor.
Location: Progressive High School, Missouri City, Texas.
