Essential Duties & Responsibilities
- Welcome and direct office visitors.
- Answer incoming telephone calls in a kind and professional manner and direct callers to appropriate party.
- Receive, sort, and forward incoming mail.
- Cookpick up and delivery of express mail services.
- Aid with other related clerical duties such as data entry, photocopying, filing, and coding.
- Perform all clerical/admin duties as assigned or required to support the office.
- Aid legal secretaries and paralegals with file downloads and uploads, scanning, and document production.
- File and name documents in accordance to firm procedures, placing an importance on accuracy.
- Update and maintain asbestos client files in a timely manner.
- Maintain Microsoft Outlook Calendars for asbestos matters.
Candidate Requirements
- Minimum of a high school diploma required (College degree is preferred, but not required).
- Minimum of one to three years of law firm experience preferred but not required.
- Proficiency in Microsoft Office (Word, Outlook, PowerPoint, Excel).
- Experience with a document management system, plus.
- Attendance & Punctuality: Consistently arrive at work and meetings on time; ensure responsibilities are covered when absent.
- Communication: Excellent written and verbal communication skills, with the ability to interface effectively with attorneys, other paralegals, and legal administrative assistants.
- Organization: Strong organizational skills and ability to prioritize tasks and meet deadlines in a dynamic environment.
- Customer service: Respond promptly to attorney and client requests for service and assistance; meet commitments.
- Dependability: Follow instructions, complete tasks on time, work independently, and commit to the hours necessary to meet deadlines.
- Teamwork: Contribute to building a positive team spirit and support the success of colleagues.
- Personal Attributes: Ability to work efficiently in a fast-paced environment; highly organized with strong attention to detail; self-motivated and capable of independent work; excellent verbal and written communication skills; professional in interactions with a wide variety of individuals; skilled in prioritizing and managing multiple tasks; consistently punctual with excellent attendance; flexible and willing to assist wherever needed; demonstrates understanding of and adherence to firm policies and procedures; comfortable working in a high-volume, deadline-driven environment with shifting priorities; strong problem-solving skills.
