About the role

The Receptionist will answer incoming telephone calls, check in patients, schedule appointments, take telephone messages, direct patients to various areas, and participate in opening and closing responsibilities.

Responsibilities

  • Answer incoming phone lines in a prompt, courteous manner.
  • Accurately record pertinent information when scheduling appointments and taking phone messages.
  • Implement check-in process, including guarantor selection, updating demographic information, insurance entry and verification, copayments, and scanning of insurance card.
  • Direct patients to correct waiting area and verify signatures of NPP are on file.
  • Schedule follow-up appointments and ensure patient account status is updated.
  • Schedule appointments according to physician's guidelines and accommodate requests from nursing staff or physicians.
  • Set up information on system for new patient accounts.
  • Follow up on delinquent accounts and alert appropriate personnel.
  • Collect patient payments accurately and enter payments into computer system.
  • Refer patient's questions to the proper departments.
  • Relay need for resource calendar changes and directive updates to Supervisor.
  • Execute changes on patient data within the computer system.
  • Update patients on schedule changes and obtain information from the nurse.
  • Prepare desk for next day by completing designated closing tasks.
  • Direct dissatisfied customers to Clinic Manager Patient Relations/Reception.
  • Troubleshoot and solve issues without disrupting the physician's workflow.
  • Perform functions accurately and efficiently using computer software applications.
  • Interact positively, responsibly, and cooperatively with patients, physicians, co-workers, and managers.
  • Maintain a safe work environment, adhere to safety requirements, and ensure confidentiality of patient and employee information.
  • Maintain acceptable levels of initiative and productivity while abiding by attendance policies.

Requirements

  • High School graduate or equivalent required.
  • Medical terminology and/or medical clinic reception experience preferred.
  • Excellent organizational, verbal communication, and interpersonal relations skills.
  • Successful completion of post-offer, pre-placement physical exam.
  • Ability to walk, stand, lift, stoop, crouch, reach, push, pull, grasp, and perform repetitive motions.
  • Ability to handle a variety of people and reason, remember, and execute language abilities.
  • Read, write, add, subtract, alphabetize, and use computer literacy.
  • Accuracy, attention to detail, flexibility, and ability to work in a fast-paced, interruptive environment.
  • Able to multi-task and prioritize work, maintain control and professionalism, and demonstrate high level of flexibility.

The Receptionist must embody respect and consideration for the dignity of each patient, visitor, and fellow employee to ensure the highest quality of medical services and patient satisfaction.
