Responsibilities
- Serve as the first point of contact for visitors and callers, including answering and routing phone calls, managing voicemails, greeting guests, and validating parking.
- Maintain a professional, organized, and welcoming reception area and common office spaces, ensuring all areas are tidy and well-stocked.
- Order and maintain office and kitchen supplies; coordinate with vendors as needed.
- Prepare and process expense reports, reimbursement requests, and payment submissions in accordance with firm procedures.
- Clock in and out at the beginning and end of each shift.
- Clock in and out at the beginning and end of each shift.
- Coordinate building and parking access for new hires and departing employees.
- Work closely with HR and Office Management on new hire onboarding and office setup logistics.
- Provide general administrative support, including conference room scheduling, meeting preparation, mail distribution, and courier coordination.
- Additional responsibilities as assigned.
Qualifications
- A high school diploma or GED is required.
- An associate’s degree or administrative training is preferred.
- A minimum of 3–5 years of experience in a legal or professional services environment is required.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is preferred.
- Excellent communication and interpersonal skills with the ability to interact professionally with clients, attorneys, staff, and vendors.
- A strong organizational and time-management skills with high attention to detail.
- A proven reliability, discretion, and commitment to maintaining a professional front-office presence.
Pay
The pay range for this role is the hourly equivalent of $45,000 – $55,000 annually. Actual compensation will be commensurate with experience, qualifications, skillset, and successful track record. Annual discretionary bonuses, competitive health insurance benefits, and 401(k) with a partial match are offered when individuals are eligible for benefits.
