About the Role

This position is responsible for attending to and greeting visitors and answering telephone calls. Duties are limited to clerical tasks within the Reception/Administrative area. There is no clinical involvement of any kind.

Responsibilities

  • Provide general administrative and clerical support.
  • Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
  • Answer telephone calls, take messages, or forward calls as needed.
  • Check visitors in and direct or escort them to specific destinations; inform other employees of visitors' arrivals or cancellations.
  • Maintain a visitor sign-in log.
  • Handle incoming and outgoing mail.
  • Schedule appointments and maintain meeting room bookings.
  • Maintain and tidy the reception area.
  • Agree not to disclose residents' protected health information and promptly report suspected or known violations.
  • Maintain confidentiality of all resident care information, including protected health information.
  • Report known or suspected incidents of unauthorized disclosure of such information.
  • Perform other duties as assigned.

Requirements

  • Must possess, at a minimum, a high school diploma or GED.
  • Previous administrative or receptionist experience preferred.
  • Basic knowledge of Microsoft Suite products, clerical functions, and multiline phone systems.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers and employees.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization.
  • Ability to interpret instructions furnished in written, oral, diagram, or schedule form.

Physical Demands

  • Must occasionally lift and/or move up to 25 pounds.
  • Prolonged use of a desktop or laptop computer.
  • Regularly required to sit, stand, walk, talk, read, or hear.
  • Frequent use of office-related equipment, including copier/scanner/fax, telephone, and calculator.
  • No travel required.
