About the role

The Receptionist in an independent living, memory care, and/or assisted living facility serves as the first point of contact for residents, visitors, and staff, providing a welcoming and organized environment.

Responsibilities

  • Warmly welcome visitors, residents, and staff, providing information and directing them as needed.
  • Answer and direct phone calls, take messages, and ensure prompt communication.
  • Answer questions about the facility, resident status, services, and general information.
  • Manage mail, packages, and deliveries; schedule appointments; assist with filing, data entry, and other light clerical duties.
  • Keep accurate records of visitors, deliveries, and appointments, and ensure the confidentiality of sensitive information.
  • Maintain a clean and organized reception area and contribute to a positive atmosphere.
  • Facilitate communication between residents, families, and staff, and escalate concerns to appropriate personnel.
  • Assist with transportation scheduling, guest meal coordination, and other tasks as needed.
  • Ensure all necessary information is up-to-date and readily available.
  • Other duties as assigned.

Requirements

  • One or more years of experience in a clerical position, preferably in a healthcare setting.
  • Passion for caregiving and enhancing the quality of life for residents.
  • Excellent communication skills for interacting with residents, families, and staff.
  • Ability to manage multiple tasks, prioritize effectively, and maintain detailed records.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Ability to provide a positive and helpful experience for residents and visitors.
  • Ability to address issues and find solutions efficiently.
  • High standard of confidentiality and honesty.
  • Strong analytical skills and the ability to evaluate and solve problems with minimal assistance.
  • High school diploma or equivalent.
  • Compassion for and desire to work with the elderly.
  • Create and uphold an atmosphere of warmth, patience, enthusiasm, and a calm and cheerful environment.
