Responsibilities

  • Greet clients, visitors, and vendors in a courteous and professional manner.
  • Cookordinator visitor access and notify employees of arriving guests.
  • Answer, screen, and direct incoming telephone calls.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean, organized, and professional reception area and maintain conference rooms.
  • Schedule appointments, meetings, and conference rooms.
  • Maintain confidentiality of sensitive company and client information.
  • Support various departments with administrative projects as assigned.
  • Run personal errands when asked (i.e., pickup lunch).
  • Aid other EA’s when necessary.

Requirements

  • 2+ years of hands-on receptionist or administrative support experience.
  • Must be able to discreetly handle sensitive and confidential material.
  • Must be very detail-oriented and highly organized.
  • Requires the ability to work with VIP clients and senior management.
  • Must have a keen sense of urgency and enjoy working at a fast pace.
  • Requires knowledge of Microsoft Office programs and internet search engines. Must be tech savvy!
  • Knowledge of operating standard office equipment.
  • Excellent communication skills – written and verbal.
  • Requires the ability to work both independently and in a team environment.
  • Ability to prioritize projects and strong problem-solving skills.
  • Good research skills and attention to detail.
