About the role

The Receptionist is a full-time, on-site role based in Austin, TX, responsible for serving as the first point of contact for clients, visitors, and callers. Day-to-day tasks include answering and directing phone calls, greeting and assisting visitors, and managing the front desk in a professional and welcoming manner. The role also involves handling incoming and outgoing mail and maintaining accurate records and logs. The Receptionist supports the office by performing clerical tasks such as data entry, filing, preparing documents, and coordinating with team members to ensure efficient office operations. This position requires consistent punctuality, reliability, and a strong commitment to high-quality customer service.

Responsibilities

  • Answer and direct phone calls using a multi-line phone system.
  • Greet and assist visitors in a professional and welcoming manner.
  • Manage front desk operations, including handling inquiries and directing visitors appropriately.
  • Handle incoming and outgoing mail.
  • Maintain accurate records and logs.
  • Perform clerical tasks such as data entry, filing, and document preparation.
  • Coordinate with team members to ensure efficient office operations.

Qualifications

  • Strong phone etiquette and ability to handle multi-line phone systems professionally.
  • Experience with receptionist duties, including greeting visitors and managing front desk operations.
  • Proficiency in clerical skills such as data entry, filing, and document preparation.
  • Excellent verbal and written communication skills.
  • Demonstrated customer service skills, including patience, empathy, and the ability to resolve routine issues promptly.
  • Comfort with basic computer applications (e.g., Microsoft Office, email, calendars) and office equipment (printers, copiers, scanners).
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent required; previous experience in a receptionist or front office role in a professional setting is preferred.
