About the role
We are looking for an experienced and dependable Receptionist to support daily front desk operations. This role is ideal for someone who enjoys creating a positive first impression, managing competing priorities, and keeping an office running smoothly in a detail-oriented environment. The successful candidate will combine strong communication skills with administrative accuracy and a customer-focused approach throughout each interaction.
Responsibilities
- Welcome clients, guests, and service providers with a courteous and attentive presence while ensuring the front office remains neat and inviting.
- Manage a multi-line phone system, route incoming calls to the appropriate team members, and record messages clearly and promptly.
- Assist visitors with arrival procedures, respond to routine questions, and direct individuals to the correct contact or meeting location.
- Provide day-to-day administrative support through document preparation, high-volume copying, scanning, printing, and general office organization.
- Maintain paper and electronic files, monitor office supply levels, and help coordinate incoming and outgoing mail, packages, and deliveries.
- Support meetings and office events by organizing reservations, preparing materials, tracking attendance details, and helping keep schedules current.
- Contribute to special projects and additional administrative tasks as business needs arise.
- Handle sensitive information with discretion and maintain a high standard in all communications and office interactions.
Requirements
- At least 3 years of experience in a receptionist, front desk, administrative support, or customer-facing office role.
- Demonstrated ability to manage inbound calls and operate a multi-line or switchboard phone system effectively.
- Strong verbal and written communication skills with a detail-focused and service-oriented demeanor.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel, along with general document and PDF handling.
- Solid organizational skills with the ability to balance multiple responsibilities and meet deadlines in a busy environment.
- High attention to detail and the ability to maintain confidentiality when handling client and business information.
- Prior experience in a services setting, such as legal, financial, consulting, or similar office environments, is preferred.
- Background supporting meetings, calendars, events, or general administrative coordination is a plus.
