Responsibilities
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers call to voice mail when appropriate personnel are unavailable.
- Checks monitor screen to ensure that no one outside is in need of assistance.
- Greensburg: Releases lock on door at the Veranda entrance when visitor does not know code. On Saturdays, 8:00am to 10:00am and 2:00pm to 7:00pm release doors at North Huntingdon and Murrysville. On Sundays, 8:00am to 7:00pm release doors at North Huntingdon and Murrysville. Notification of need to release doors received via phone and surveillance cameras.
- Greets on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Receives, sorts, and routes mail. Updates resident mailbox slots as needed.
- Uses computer to type labels, memos, correspondence, schedule calendars, beauty salon appointments and care conference letters, reports, and other documents when requested by various departments.
- Notifies Maintenance, Nursing, and Activities of resident and employee requests or needs via e-mail.
- Processes incoming residents; creates a mailbox tag; adds the resident's name to the birthday and telephone lists; enters the MRN number in the file; creates forwarding labels for mail and types a welcome letter from Social Services.
- Updates information when an individual is no longer a resident; removes the resident's name from the birthday and telephone lists; adds the resident's name to the memorial board if deceased.
- When meal vouchers are requested by visitors, receptionist produces and forwards payments to finance department.
Requirements
- High school diploma or general education degree (GED); or one to three months of related experience and/or training as a receptionist; or equivalent combination of education and experience.
- Ability to read and interpret phone directories, business correspondence, safety rules, operating and maintenance instructions for office equipment, and corporate policies and procedures.
- Ability to write routine reports and correspondence for various departments.
- Ability to effectively present information (such as phone numbers, Redstone services, and directions) in one-on-one and small group situations to callers, visitors, employees, and residents.
- Uses e-mail to communicate with others internally and externally. Individual should also have working knowledge of spreadsheet and word processing software for creating reports and correspondence.
- The ability to concentrate for extended periods of time.
- The ability to shift focus from one task to another.
