About the Role
The Receptionist will serve as an administrative assistant for brokerage and front office operations, handling a variety of office support duties. As the first point of contact for many clients, this role requires a proactive, positive, and solution-oriented attitude. The ideal candidate will anticipate needs, manage multiple tasks efficiently, and maintain a welcoming and organized front office environment.
Responsibilities
- Open and prepare the office for daily operation, including filling copy machines, organizing the breakroom and copy room, and checking supplies.
- Oversee the daily office calendar and coordinate meetings.
- Greet and welcome clients and visitors as the first point of contact.
- Answer, route, and resolve incoming phone calls.
- Pick up, receive, and sort mail and deliveries.
- Maintain the organization and appearance of the front office area.
- Upload and code invoices to PayScan.
- Maintain, organize, and manage the key safe.
- Order, organize, and maintain office, IT, and breakroom supplies.
- Conduct regular walkthroughs of the office, breakroom, and conference rooms to ensure tidiness.
- Coordinate and service phone systems.
- Organize office signs and setups for new employees.
- Provide support to staff as needed and as time allows.
- Handle confidential client and company information, including sensitive financial data, with discretion.
- Maintain a positive attendance record with regular and predictable on-site presence.
- Perform other duties as assigned.
