This is a non-civil service position with the Baltimore City Council, Office of the City Council President.

About the role

The Receptionist is responsible for greeting visitors, answering and directing phone calls, managing appointments, and providing administrative support to ensure the efficient operation of the front office. The ideal candidate has excellent communication and multitasking skills, maintains a professional demeanor, and is committed to delivering exceptional customer service while handling confidential information with discretion.

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls.
  • Respond to emails and general inquiries promptly.
  • Check in visitors and notify staff of arrivals.
  • Receive, sort, and distribute mail and deliveries.
  • Process outgoing mail and shipments.
  • Maintain office supplies and place orders when needed.
  • Direct concerns to the appropriate staff member.
  • Perform related work as required.

Requirements

  • Bachelor’s degree from an accredited college or university or an equivalent combination of education and experience.
  • At least five years of experience in a related field.

Skills

Knowledge of:

  • General office procedures, administrative practices, and customer service principles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new software applications.
  • Ability to operate standard office equipment, including multi-line telephone systems, copiers, scanners, printers, and fax machines.

Skills and Abilities:

  • Strong attention to detail and accuracy in data entry, recordkeeping, and document preparation.
  • Excellent problem-solving skills and the ability to respond calmly and professionally in a fast-paced environment.

Pay

Salary Range: $55,012 – $87,968 annually
Starting Pay: $55,012 – $71,490 annually

Schedule

Full Time, 40 hours a week. Must be available for some evening and weekend hours.

Additional Information

  • Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening.
  • All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
  • This position requires completion of a Financial Disclosure pursuant to Sections 7-7, 7-8, and 7-9 of the City Ethics Law.
  • This position is subject to a residency requirement: the incumbent must reside and be a registered voter of Baltimore City at the time of appointment or sign a declaration of intent to become a City resident and registered voter within 6 months of the effective date of their appointment.
