Core Duties and Responsibilities

  • Greets and directs all clients, visitors and personnel arriving in the office in a courteous and professional manner.
  • Notifies appropriate party of their arrival.
  • Captures guest technology and equipment needs.
  • Answers office telephone lines, directing calls as appropriate.
  • Reserves conference rooms and visitor offices using firm’s software and coordinates catering services for client meetings and other functions.
  • Assists with set-up/clean-up.
  • Maintains proper visitor and guest security procedures as laid out by the firm, which includes issuance of security badges and parking cards for the office as well as validation of parking tickets.
  • Maintains professional appearance and cleanliness of office reception area.
  • Processes maintenance requests utilizing building tenant portal account.
  • Maintains employee parking database and coordinates garage access for staff, vendors, and visitors.
  • Codes, verifies and inputs invoices for payment utilizing Chrome River/Emburse accounting software program.
  • Completes New Business Intakes and assists with opening files for new matters.
  • Provides overflow administrative support as requested including but not limited to preparation of correspondence and legal documents from electronic drafts, handwritten notes or electronic dictation; assisting with revisions of documents, typing discovery requests, mass mailings, etc.
  • Provides administrative support to the Office Administrator.
  • Uses workflow management software to receive, prioritize, track and complete assigned tasks in a timely and organized manner.
  • Aids with various projects as needed for management (e.g. filing, document preparation, organizational projects, etc.)

Essential Qualifications

  • Associate Degree or Bachelor’s Degree preferred.
  • Two (2) years of related work experience; strong preference for administrative and reception experience particularly in a law firm/legal environment.
  • Excellent verbal, written, and interpersonal communication skills, with a strong understanding of office protocol and professional etiquette.
  • High competency in Microsoft Office Suite applications (Outlook/Word/Excel); typing requirement of 55 wpm.
  • Ability to be flexible, work flexible hours when required, and respond quickly and calmly to urgent situations.
  • Exceptional organizational skills with a high level of attention to detail in both written work and data entry.
  • Excellent interpersonal skills required.
  • Familiarity with office protocol required.
  • Ability to work independently with some level of autonomy, taking initiative to ensure performance aligns with the successful operations of the office.
  • Experience operating administrative office equipment (e.g. high-speed copier, scanner, etc.).
  • Ability to lift and transport moderate to heavy (20-25 pound) boxes; repeated lifting, stooping and bending.

Salary and Compensation

The offered salary will be determined by a variety of factors including, but not limited to, work location, individual skill set, previous/applicable experience, education, external market data and consideration of internal equity.
