Job Summary
The Receptionist is responsible for greeting vendors, clients, job applicants and other visitors, and helping them navigate through the office. In addition, they handle firm-wide calls and emails, facilitate office-wide messages, sort mail, and assist Word Processing with printing and typing tasks. This is a temporary-full time role that is expected to last 6 months.
Duties/Responsibilities
- Serve as the first point of contact by greeting clients, visitors, and vendors; manage reception operations and ensure a professional, client-ready environment
- Manage incoming calls, emails, and general inquiries, routing communications appropriately and ensuring timely follow-up
- Coordinate visitor access, security protocols, and building communication for guests, vendors, and new hires
- Oversee mail and package handling, including distribution, shipping, tracking, and maintaining accurate logs and compliance records
- Provide administrative support such as scheduling, meeting coordination, document preparation, scanning, filing, and data entry
- Support onboarding logistics, internal events, and office meetings, including setup, hospitality, and coordination with vendors
- Maintain office operations by restocking supplies, supporting common areas, and liaising with building management and service providers
- Assist with seasonal or high-volume activities (e.g., tax season mailings, document distribution, special projects)
- Handle sensitive information with discretion and ensure compliance with firm policies and confidentiality standards
- Other duties as assigned
Required Education and Experience
- Front desk reception required.
- 2-3 years of work experience as a receptionist or an administrative assistant in a high volume / fast paced environment.
Required Skills/Abilities
- Able to manage multiple tasks, prioritize, and meet deadlines.
- Able to work independently and as part of a team.
- Excellent verbal and written communication skills.
- Excellent organizational and time management skills.
- Proficient with Microsoft Office Suite or similar software.
- Proficient with QuickBooks.
- Strong problem solving and analytical skills.
- Strong professional service ethic, client focused, and results driven.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
