About the Role

This position is responsible for front desk operations and overseeing onsite conference rooms for arbitration hearings and mediations. It involves skilled administrative work where incumbents are experienced and proficient in their roles, providing excellent customer service, prioritizing workloads, and handling routine matters independently while addressing complex matters under close supervision.

Responsibilities

  • Reserves, prepares, and recovers hearing rooms for onsite hearings.
  • Ensures hearing exhibits are delivered to conference rooms as needed.
  • Greets hearing participants and delivers exceptional customer service.
  • Assists and answers questions as needed.
  • Enters onsite hearing guest information into the building visitor system and directs participants to assigned hearing rooms.
  • Ensures hearings are properly recorded and uploaded into the case file.
  • Ships and receives digital recorders to and from offsite hearing locations.
  • Receives and sends hearing exhibits to arbitrators as needed.
  • Prepares files for offsite storage and arranges for pick-up by the offsite storage vendor.
  • Creates guest Wi-Fi access for onsite hearing participants and assists with connectivity issues.
  • Receives mail deliveries, scans, and distributes correspondence to appropriate recipients.
  • Prints letters and attachments and mails them as directed by staff.
  • Cross-trained on and performs Case Coordinator, Senior Case Coordinator, and Case Specialist job functions, as needed.
  • Performs additional ad hoc case administration job functions, as needed.
  • Supports office operations by maintaining supplies and coordinating with equipment vendors.
  • Trains and provides guidance to staff on issues of general to moderate complexity.
  • Serves as a role model for staff in the department.
  • Demonstrates FINRA’s values through collaboration, both in-person and virtually, in furtherance of FINRA’s mission of investor protection and market integrity.
  • Performs additional duties as required by management, including presentations.

Requirements

  • High School diploma and 4 years of related experience or an equivalent combination of education and experience.
  • Bachelor's degree preferred.
  • Expertise using a desktop computer with the full suite of electronic office applications and other office equipment.
  • Excellent organizational ability, interpersonal skills, and written and verbal communication skills.

Working Conditions

  • Hybrid work environment, with defined in-person presence requirements.
  • Minimal travel may be required.
  • Some overtime may be required.

Pay

FINRA complies with all state and local pay transparency laws and regulations requiring the disclosure of salary ranges for the position. Actual compensation is based on various factors, including but not limited to, the candidate’s skill set, level of experience, education, and market considerations.

  • CO/FL/TX: Minimum Hourly Rate $23.63, Maximum Hourly Rate $41.25
  • IL/PA: Minimum Hourly Rate $25.98, Maximum Hourly Rate $45.36
  • MA/MD/VA/Washington, DC: Minimum Hourly Rate $27.18, Maximum Hourly Rate $47.43
  • NY/NJ: Minimum Hourly Rate $27.18, Maximum Hourly Rate $49.50

Employees may be eligible for a discretionary bonus in addition to base pay. Non-exempt employees are also eligible for overtime pay in accordance with federal, state, or local law.

Time Off and Paid Leave

  • 15 days of paid time off, 5 personal days, and 9 sick days (all pro-rated in the first year).

Important Information

FINRA’s Code of Conduct imposes restrictions on employees’ investments and requires financial disclosures uniquely related to our role as a securities regulator. Employees must disclose all brokerage accounts they maintain, including those in which they control trading or have a financial interest (such as trust accounts or accounts of a spouse, domestic partner, or minor child living with the employee). These accounts must comply with FINRA’s investment and securities account restrictions. New employees must comply with these restrictions by their start date, including disposing of securities issued by companies on FINRA’s Prohibited Company List or obtaining a written waiver.

Employees may only maintain securities accounts that must be disclosed to FINRA at firms providing an electronic feed (e-feed) of data to FINRA and must move such accounts to an e-feed firm within three months of beginning employment.

As a standard practice, employees must execute FINRA’s Employee Confidentiality and Invention Assignment Agreement without qualification or modification and comply with the company’s policy on nepotism.
