The Real Estate Transaction Coordinator assists the Real Estate Department in organizing and communicating site information, as well as overseeing various real estate tasks for company-owned locations in their assigned region. This role plays an integral part in the real estate and development process, collaborating with Site Acquisition Managers, the Legal Team, Construction Coordinators, and Construction Managers to obtain review and approval of sites by the Real Estate Committee and ensure project information and timelines are managed.

Responsibilities

  • Support Site Acquisition Managers in processing real estate deals, including collecting, communicating, and maintaining site information details.
  • Understand the organization, operation, and processes of the Real Estate Department to assist with deal-making transactions.
  • Assemble, review for completeness, and communicate information provided by brokers and landlords to various departments under the guidance of Site Acquisition Managers.
  • Prepare and circulate documents for review and signature.
  • Add, update, and maintain project information in project management software to ensure accuracy for team members and executive reporting.
  • Prepare Real Estate Committee (REC) presentation materials and manage approval processes:
    • Gather demographic data from various software tools.
    • Communicate with real estate and development teams to ensure project-specific information, site plans, renderings, and budgets are complete for REC presentations.
    • Draft REC presentation documents for Site Acquisition Manager review and finalize for REC meetings.
    • Track REC approvals/denials and notify departments as needed.
  • Support the Real Estate Team and Construction in tracking lease deadlines:
    • Coordinate with Legal to establish initial lease deadlines and prepare communication for the development team.
    • Update project management software to accurately capture the status of deadlines.
    • Attend project status meetings and partner with the development team to track actual status against lease deadlines, communicating needs for notifications or extension requests.

Requirements

  • Minimum of 4+ years of progressively responsible experience in project coordination, with a focus on QSR restaurants with high volumes; or a combination of relevant work experience, education, and/or equivalent military experience.
  • Bachelor’s Degree in a related field preferred.
  • Understanding of site evaluation and real estate negotiation procedures.
  • Experience with land use, development processes, building permits, and construction project management is a plus.
  • Experience with DocuSign and Lucernex project management software is a plus.
  • This position requires driving when necessary.

Location: This position is fully remote and will oversee operations across the Northeast region.

    • Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including virtual meetings and phone calls.
  • Reading and Writing Proficiency:
    • Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions.
  • Vision Requirements:
    • Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using visual tools.
  • Technology Proficiency:
    • Proficient in operating computers and office productivity tools such as printers, scanners, and collaboration software.
  • Effective Communication:
    • Strong verbal and written communication skills to interact effectively with team members, clients, and stakeholders via email, video conferencing, and other in-office communication tools.

Pay

Compensation is dependent on experience.
