RCM Training & Process Optimization Specialist

About the Role

The RCM Training & Process Optimization Specialist is responsible for developing, standardizing, and delivering training and operational documentation across Revenue Cycle Management (RCM). This role serves as a subject matter resource for RCM systems, workflows, and processes, partnering with operational leaders to improve efficiency, scalability, and consistency. The primary focus is ensuring RCM teams have well-defined, documented, and optimized processes, supported by effective training for system or workflow changes.

Responsibilities

• RCM Training & Team Development
  • Develop and deliver structured training for RCM team members across Billing, Accounts Receivable, Payment Posting/Cash Reconciliation, and other revenue cycle functions.
  • Lead training for new team members and ongoing education for existing staff.
  • Create training programs for new systems, enhancements, automation, and workflow changes.
  • Translate complex system functionality and RCM processes into clear, practical training.
  • Conduct live demonstrations, workflow walkthroughs, and hands-on system training.
  • Assess training effectiveness and address knowledge gaps with targeted education.
• SOP & Workflow Development
  • Own the development and maintenance of SOPs across RCM departments.
  • Document standardized workflows, procedures, business rules, escalation paths, and system requirements.
  • Create workflow diagrams, process maps, checklists, job aids, and supporting documentation.
  • Establish consistent standards and templates for RCM SOPs and training materials.
  • Maintain a centralized library of current RCM documentation and ensure regular reviews for accuracy.
• Systems & Technology Enablement
  • Develop expertise in systems and technology used across RCM operations.
  • Serve as a subject matter resource for new systems and functionality.
  • Participate in system implementations and enhancements to assess impact on workflows.
  • Test and validate workflows before developing training and documentation.
  • Translate system functionality into practical RCM workflows and step-by-step procedures.
  • Deliver training prior to system or workflow changes.
• RCM Process Optimization
  • Evaluate existing RCM workflows to identify inefficiencies, manual steps, and inconsistencies.
  • Partner with RCM leaders to develop improved future-state workflows.
  • Identify opportunities for standardization, automation, or system improvements.
  • Document current-state and future-state workflows for major operational changes.
  • Support implementation of process improvements through documentation and training.
  • Monitor newly implemented workflows and gather feedback for further optimization.

Key Deliverables

• Standard Operating Procedures (SOPs) and end-to-end RCM workflow documentation.
• Process maps, workflow diagrams, and job aids.
• System training materials and new-hire training programs.
• Process and system change training, including assessments and knowledge checks.
• Documentation supporting new technology, automation, and major workflow changes.

Qualifications

• Strong understanding of Revenue Cycle Management operations and healthcare billing workflows.
• Experience in RCM functions such as Billing, Accounts Receivable, Payment Posting, Cash Reconciliation, or Claims Management.
• Ability to quickly learn new systems, technology, and operational processes.
• Experience developing SOPs, process documentation, training materials, or operational workflows.
• Strong written communication skills to translate complex processes into clear instructions.
• Experience training individuals or groups in systems, processes, or operational procedures.
• Analytical and problem-solving skills to identify workflow inefficiencies and recommend improvements.
• Comfortable collaborating with operational teams and leadership to validate processes.
• Highly organized with strong attention to detail and documentation standards.
• Ability to manage multiple documentation, training, and process-improvement initiatives.

Preferred Qualifications

• Experience supporting RCM system implementations, migrations, or technology changes.
• Experience with workflow mapping and process improvement.
• Experience developing structured training programs or learning materials.
• Familiarity with RCM automation and technology-enabled workflows.
• Experience working across multiple RCM departments.
• Experience supporting distributed or offshore RCM teams.

Success in this role means RCM processes are well-documented and not dependent on tribal knowledge. Team members have clear, current documentation and structured training for system or workflow changes. The Specialist becomes a trusted resource for identifying process improvements, documenting optimal workflows, and training teams to execute them efficiently.
