Quickbase Solutions Manager
Overview
The Quickbase Solutions Manager is responsible for the day-to-day administration, support, strategic management, and continuous improvement of the Quickbase platform. This role ensures that users across multiple divisions have the tools, training, reporting, documentation, and workflows needed to successfully manage projects and business operations.
This position serves as the primary resource for Quickbase users and plays a key role in driving operational excellence through technology, reporting and data, project management, communication, and continuous improvement.
The Quickbase Solutions Manager leads cross-functional projects, manages platform enhancements from concept through implementation, and oversees change management efforts to ensure successful user adoption of new processes, features, and system improvements.
This role works closely with business leaders, IT, and third-party developers to translate business needs into scalable Quickbase solutions that improve efficiency, standardize processes, and support organizational growth.
Essential Functions
- Quickbase Administration
- Serve as the primary administrator for the Quickbase platform across multiple divisions.
- Manage day-to-day user support, troubleshooting, and issue resolution.
- Maintain database structure, tables, relationships, forms, reports, dashboards, and permissions.
- Cook up system enhancements and new development with third-party developers and IT.
- Test, validate, and deploy new functionality and enhancements.
- Ensure data integrity through ongoing audits and maintenance.
- Manage user security, roles, notifications, and access requests.
- Reporting & Business Intelligence
- Create and maintain reports and dashboards for Operations, Finance, Purchasing, Sales, and Executive Leadership.
- Create automated reporting and scheduled report distribution.
- Develop new reporting solutions based on business needs.
- Aid departments with ad hoc reporting requests and data analysis.
- User Support & Training
- Serve as the first point of contact for Quickbase questions and support.
- Train new users on system functionality and best practices.
- Develop and facilitate ongoing training sessions for existing users.
- Create user guides, reference materials, and training documentation.
- Identify opportunities to improve user adoption and efficiency.
- Process Documentation
- Develop and maintain Standard Operating Procedures (SOPs).
- Create process documentation for new workflows and system enhancements.
- Standardize documentation across divisions.
- Maintain templates, forms, and process libraries.
- Division Onboarding
- Lead Quickbase implementation for newly acquired or newly onboarded divisions.
- Cook up data migration, validation, and system setup.
- Configure division-specific settings while maintaining company standards.
- Support ERP integrations and user transition activities.
- Provide post-implementation support and training.
- SharePoint & Internal Communications
- Manage the Contract Business SharePoint site and related resources.
- Organize and maintain document libraries and shared resources.
- Publish internal newsletters highlighting system updates, new features, training opportunities, and best practices.
- Maintain centralized access to forms, SOPs, and training materials.
Minimum Qualifications
- Bachelor's degree in Business, Information Systems, or related field (or equivalent experience).
- Experience administering Quickbase or similar low-code business applications.
- Strong understanding of database structure, reporting, and workflow automation.
- Experience creating dashboards and business reports.
- Excellent organizational and documentation skills.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and priorities simultaneously.
- Experience training users and developing documentation.
- Experience with SharePoint, Microsoft 365, and business collaboration tools preferred.
