About the role
This position provides administrative and project support to the Executive Director of Global Upstream and Cell Line Development, the Executive Director of Analytical Development and Attribute Sciences, and the Senior Director of Potency and Impurities Analytical Development. The role serves a multi-site organization responsible for the development of biologics products and requires mastery of executive associate and project management functions, including a strong professional presence both internally and externally.
Responsibilities
- Support the Executive Director of Global Upstream and Cell Line Development, the Executive Director of Analytical Development and Attribute Sciences, and the Senior Director of Potency and Impurities Analytical Development (~160 staff across multiple sites).
- Perform highly diverse, time-sensitive, and complex administrative functions, projects, and tasks; collaborate with Biologics Development Operations to support organizational administration and operations.
- Manage calendars, schedule meetings, conferences, and events; arrange domestic and international travel; file and manage expense reports; maintain accurate departmental records; and handle on-boarding and off-boarding of contractors and employees.
- Plan and manage year-long calendars, site and vacation schedules for the leadership team and department events; coordinate and organize high-level department meetings, town halls, and social events, including content and logistics.
- Maintain and update the organizational SharePoint site; manage meeting minutes in OneNote and send out surveys using MS Suite tools or other platforms.
- Draft and distribute communications to the department; assemble town hall slide decks and manage overall communications with strong professional writing skills.
- Coordinate with other operational and administrative staff across the organization.
- Maintain a positive attitude, high productivity, and adaptability to change.
- Proactively anticipate schedules, events, and team needs; identify conflicts or issues and take steps to resolve them with minimal supervision.
- Interface professionally with senior executives and staff, handle confidential information with discretion, and demonstrate diplomacy in sensitive situations.
- Anticipate key issues and implement action plans based on changing priorities and commitments.
- Prioritize activities aligned with departmental objectives and business needs.
- Maintain professional and technical knowledge by completing client continuous learning modules.
- Provide back-up support to cover planned vacations and unplanned absences within the administrative team.
Requirements
- Strong understanding of SharePoint, with responsibility for maintaining multiple pages.
- Associate’s Degree required; Bachelor’s Degree highly desirable. Educational experience may be substituted with relevant work experience.
- At least 5 years of administrative or comparable experience; prior Executive Associate or Project Coordinator experience preferred.
- High proficiency with MS Office Suite, SharePoint, and strong learning agility for new tools.
- Highly motivated, independent thinker with proven problem-solving and analytical skills.
- Ability to use technology effectively to support strategic initiatives and processes.
- Strong interpersonal skills to interact with colleagues at all organizational levels.
- High proficiency in client systems (Concur Travel/T&E, MS Teams, SAP, eSetup, Conf Room Scheduling, Workday, SharePoint) or willingness to learn rapidly.

Pay
$42.85 - $45.45 per hour
