About the Role

Every meeting we arrange between a retiree and an advisor has to be verified before it can be billed. Did the person actually show up? Did they meet our qualification threshold? Was the advisor's process followed? You answer those questions correctly, every time, from the evidence available: CRM records and call logs, call recordings and transcripts, and advisor-submitted forms. Your decision determines what a client is billed, which means it gets reviewed whenever a client disagrees with it. There is no version of this job where you guess.

Responsibilities

  • Review every completed appointment and determine the outcome (showed, no show, cancelled, rescheduled) and whether the attendee met qualification criteria
  • Cross-reference at least three independent evidence sources before deciding: the CRM contact record and call log, the call recording or transcript, the advisor-submitted feedback, and any system-generated suggestion
  • Apply written policy consistently, including outreach-attempt requirements, and log policy violations against the correct account
  • Write a clear, defensible note on every decision recording what you checked and why you decided as you did
  • Keep the tracking sheet fully reconciled against the CRM so that the two systems never disagree
  • Meet turnaround targets: same-day on standard reviews, and faster on no-shows so the team can rebook while the prospect is still reachable
  • Surface patterns, not just individual cases. Recurring non-compliance, recordings that fail to sync, appointments that never get classified.
  • Escalate anything you genuinely cannot determine rather than clearing the queue with a guess

Requirements

  • 2+ years reviewing evidence and applying written policy to reach a decision that affects money. Claims review, medical billing, quality assurance, disputes, verification, or audit work all count.
  • Genuinely detail-obsessed. A number that is off by one bothers you until you find out why it is off by one.
  • Strong spreadsheet fundamentals: lookups, filtering, deduplicating, and spotting the row that does not belong. You will not be asked to build models.
  • The consistency to hold the same standard on review number 80 that you held on review number 1
  • Clear written English. Advisors, support staff, and leadership all read your notes, sometimes during a disagreement.
  • Comfortable saying "I cannot determine this from the evidence" and escalating

Nice to Have

  • Experience reviewing recorded calls against a scorecard or rubric
  • Familiarity with a CRM such as GoHighLevel, Salesforce, or HubSpot
  • Exposure to financial services, insurance, or annuities
