Quality Assurance & Compliance Manager Position Summary

The Quality Assurance & Compliance Manager is responsible for overseeing quality assurance reviews, compliance monitoring, audit coordination, and corrective action processes across the organization. This role ensures adherence to operational standards, regulatory requirements, and company policies by managing compliance programs, tracking corrective actions, coordinating cross-functional stakeholders, and maintaining accurate documentation and reporting systems. The Quality Assurance & Compliance Manager serves as a key liaison between departments to drive accountability, operational excellence, and continuous improvement. Some travel may be required.

Responsibilities

  • Manage and maintain the master Quality Assurance Review (QAR) schedule, ensuring timely completion of all reviews and reevaluations.
  • Execute and oversee the QAR reevaluation process, including documentation, tracking, and follow-up activities.
  • Review and escalate final QAR findings to leadership as appropriate.
  • Monitor compliance trends and identify areas requiring corrective action or additional education is needed.
  • Maintain accurate compliance records and documentation within designated compliance management systems.
  • Draft, distribute, and maintain Letters of Expectation (LOEs) and related compliance communications.
  • Cook up and distribute LOE implementation, follow-up, and resolution.
  • Monitor and track compliance with LOE requirements and corrective action plans.
  • Draft Notices of Default (NODs) and supporting documentation for Senior Director review and approval.
  • Ensure timely escalation of unresolved compliance issues and enforcement actions.
  • Coordinate cross-functional teams on the scheduling, execution, and completion of audits.
  • Partner with cross-functional departments to facilitate audit readiness and compliance initiatives.
  • Manage conference attendance tracking and related compliance requirements.
  • Prepare, distribute, and maintain notifications and documentation supporting conference participation and attendance requirements.
  • Manage and maintain the Active Centers database and associated compliance records.
  • Process and track approval requests in accordance with established guidelines.
  • Review, process, and document signage approval requests to ensure compliance with brand and operational standards.
  • Track site approval progress through collaboration with Real Estate and other stakeholders.
  • Serve as the primary point of contact for designated partnerships and compliance-related initiatives.
  • Cook up and coordinate with internal departments, leadership teams, and external stakeholders to support compliance objectives.
  • Facilitate communication between cross-functional teams to ensure timely resolution of compliance matters.
  • Develop and maintain positive working relationships that support operational effectiveness and compliance outcomes.
  • Prepare compliance reports, dashboards, and summaries for leadership review.
  • Analyze compliance data and trends to identify opportunities for process improvements.
  • Recommend and implement enhancements to compliance tracking, documentation, and reporting processes.
  • Support the development and maintenance of policies, procedures, and compliance standards.

Qualifications

  • Bachelor's degree in Business Administration, Compliance, Quality Management, Legal Studies, or a related field, or equivalent combination of education and experience.
  • 3–5 years of experience in quality assurance, compliance, audit management, operations, or a related field.
  • Experience managing multiple projects, deadlines, and compliance processes simultaneously.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and compliance or database management systems.

PREFERRED EXPERIENCE

  • Experience in franchising, multi-unit operations, retail, education, or service-based industries.
  • Experience with regulatory compliance, corrective action management, or audit programs.
  • Knowledge of quality assurance methodologies and continuous improvement practices.
