About the role

This is the behind-the-scenes role that keeps 17 locations moving: you'll process purchase orders, manage titles, registrations, and IFTA filings for our fleet, and oversee the employee credit card and fuel card programs. Responsibilities

  • Purchase Order Processing: Prepare, submit, and process requisitions and purchase orders for supplies and equipment; maintain accurate purchase records and track orders through delivery.
  • Invoice Entry: Accurately input invoice details into the accounting system, including vendor information, invoice amounts, and payment terms.
  • Discrepancy Resolution: Compare deliveries and invoices with purchase orders to identify and resolve discrepancies with vendors and internal staff.
  • Vehicle Titles and Registration: Maintain title and registration records for all company vehicles, processing renewals, transfers, and new registrations across all locations.
  • IFTA Reporting: Compile mileage and fuel records and prepare International Fuel Tax Agreement (IFTA) filings, ensuring accurate and timely reporting.
  • Employee Credit Card Management: Administer the employee credit card program, including issuing and deactivating cards, monitoring usage, collecting receipts, and reconciling monthly statements.
  • Employee Fuel Card Management: Administer the employee fuel card program, including card issuance, usage monitoring, and account reconciliation.
  • Recordkeeping and Communication: Enter, verify, and maintain information in written and electronic form; process day-to-day paperwork and provide information to supervisors, co-workers, and vendors.

Essential Job Functions

  • Use computers and computer systems to enter data and process information.
  • Perform day-to-day administrative tasks such as maintaining information files and processing paperwork.
  • Communicate with people outside the organization, representing the organization to customers, the public, government, and other external sources.
  • Provide information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
  • Process information and verify data.
  • Enter, transcribe, record, and maintain information in written and electronic form.
  • Process information by compiling, coding, categorizing, auditing, and verifying information or data.

Requirements

  • High school diploma or equivalent and one to two years of clerical, administrative, or purchasing support experience.
  • Valid driver's license.

Skills

  • Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective purchase and distribution of products.
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Excellent organizational skills and attention to detail.
  • The ability to use a computer and excellent customer service skills.
  • Team-player with the ability to manage multiple items simultaneously.

Pay

$20.00 - $24.00/hour, dependent on experience

Schedule

Full-time, 40-hour week
