  • list of duties. We need to extract duties from the essential functions and other functions. Let's list duties: - Obtain cost pricing for materials from vendors or other necessary sources and help prepare accurate quotes for pricing and gather information, submitting quotes. - Work with vendors to coordinate timing and means of delivery. - Develop contacts in the market and with vendors to help prepare accurate quotes. - Provide leadership, direction, and guidance to the Call Flow Specialist staff. - Train and mentor existing team members to be successful in their roles. - Provide training to new Operating Companies functional counterparts. - Familiar with overall call to cash process. - Proficient with all aspects of the complete to closed portion of the process. - Knowledgeable of company KPI’s and dashboards to articulate financial impact of team’s performance. - Evaluate staff performance and provide feedback to managers. - Facilitate individual and group meetings to solve problems and implement improvements. - Assist with building training materials and feedback to adjust materials accordingly to improve overall call to cash process. - Knowledgeable of training materials, user guides, SOP’s, and using them to improve team members performance. - Capable of working with cross functional teams to meet internal and external KPI’s. - Create PO’s and place orders while organizing transportation and follow the shipment to delivery. - Ensure continual improvement of quoting process. - Receive calls from customers and obtain and review customer documentation for accuracy, completeness, and exactness. - Interface with technician supervisors on any issues relating to quotes. - Create after the fact quotes and submit for approval. - Create and track approval or rejection of quotes via third party website daily. - Manage third party system (TPS) quotes rejections and approvals. - Ensure continual customer interaction through TPS, email, and verbal communication. - Manage follow up appointments. - Communicate with dispatch on open calls. - Updates in TPS. - Review all open calls. - Ensure PM pull through quotes are completed. - Perform other related duties as assigned. We need to ensure we don't duplicate similar statements. We'll list each as
  • . Now Requirements/Qualifications: The posting has "Job Requirements - Minimum Qualifications". Then list: - One or more years of experience as a quoter or expeditor in the HVAC/R industry a plus. - Good Computer proficiency. - High school diploma or general education degree. - HVAC/R industry knowledge or experience preferred. - Strong organizational and communication skills. - Good customer service/phone skills and flexibility for handling a wide range of activities. - Data entry for accurately processing invoices and payment runs. - Self-motivated and work well with others. - Demonstrates time management skills. - Flexibility and desire to take on additional responsibilities. - Willing to learn and grow with the company. - Ability to work independently, multi-task and prioritize tasks with strict deadlines. - Self-motivated and works well with others. (duplicate) We can deduplicate. We might split into Requirements (minimum qualifications) and Qualifications (preferred?). But the instruction says use headings for Requirements, Qualifications, Skills, etc. We need to decide what to put where. Since the posting lumps them together, we could put all under Requirements (or Qualifications). But we need to avoid thin sections. Perhaps we can put Requirements heading with the list, and not create Qualifications if it's redundant. Or we could separate: Requirements = mandatory (high school diploma, experience plus?), Qualifications = preferred (HVAC/R industry knowledge, etc). However the posting says "One or more years of experience as a quoter or expeditor in the HVAC/R industry a plus." That's a plus, not required. "Good Computer proficiency." maybe required. "High school diploma or general education degree." required. "HVAC/R industry knowledge or experience preferred." preferred. Then skills list. We could create Requirements section for the mandatory items: High school diploma, Good Computer proficiency, Data entry, Self-motivated, time management, ability to work independently, multi-task, prioritize, etc. Qualifications for preferred: HVAC/R industry knowledge/experience, experience as quoter/expeditor a plus, strong organizational and communication skills, good customer service/phone skills, flexibility, willingness to learn, etc. Skills could be a separate list of skills like organizational, communication, customer service, data entry, etc. But we risk duplication. Given instruction: "Prefer a few substantive sections over many thin ones." So maybe we combine Requirements and Qualifications into one section? But we have headings for both; we could include both if they have substantive content. However we must not create sections with filler. If we split, each will have substantive content. That's okay. But we need to avoid duplication of same content across sections. We'll try to allocate. Let's define: - Requirements (minimum qualifications): High school diploma or GED, Good computer proficiency, Data entry for accurately processing invoices and payment runs, Self-motivated and works well with others, Demonstrates time management skills, Ability to work independently, multi-task and prioritize tasks with strict deadlines, Flexibility and desire to take on additional responsibilities, Willing to learn and grow with the company. - Qualifications (preferred): One or more years of experience as a quoter or expeditor in the HVAC/R industry a plus, HVAC/R industry knowledge or experience preferred, Strong organizational and communication skills, Good customer service/phone skills and flexibility for handling a wide range of activities. - Skills: Could be list of skills like Organizational skills, Communication skills, Customer service skills, Data entry, Time management, Ability to work independently, Multi-tasking, Prioritization, etc. But that overlaps with requirements/qualifications. Might be thin. Better to not create Skills section if it would be thin. Instead we could incorporate skills into Responsibilities or Requirements. But the instruction says we can use Skills heading if there is real specific content. The posting does mention skills like strong organizational and communication skills, good customer service/phone skills, etc. That's enough for a Skills section. Thus we can have:

    Skills

    with
    • Strong organizational and communication skills
    • Good customer service/phone skills
    • Flexibility for handling a wide range of activities
    • Data entry for accurately processing invoices and payment runs
    • Time management
    • Ability to work independently, multi-task and prioritize tasks with strict deadlines
But note some of these also appear in Requirements/Qualifications; duplication may be okay but we should avoid repeating same exact phrase across sections? The instruction didn't forbid duplication, but we should preserve all substantive information; duplication may be okay but could be considered redundant. However we can try to avoid duplication by splitting content uniquely. Let's think: The posting includes many skill-like statements. We could put them all under Skills, and then Requirements could be just education and experience minimums. Qualifications could be preferred experience/knowledge. Thus: Requirements (minimum): High school diploma or GED, Good computer proficiency, Data entry for accurately processing invoices and payment runs, Self-motivated and works well with others, Demonstrates time management skills, Ability to work independently, multi-task and prioritize tasks with strict deadlines, Flexibility and desire to take on additional responsibilities, Willing to learn and grow with the company. Qualifications (preferred): One or more years of experience as a quoter or expeditor in the HVAC/R industry a plus, HVAC/R industry knowledge or experience preferred, Strong organizational and communication skills, Good customer service/phone skills and flexibility for handling a wide range of activities. Skills: Could be maybe not needed if we already covered in Qualifications. But we could still have Skills as a separate list of specific abilities: Organizational skills, Communication skills, Customer service skills, Data entry, Time management, Ability to work independently, Multi-tasking, Prioritization. However that repeats. Given the instruction to prefer few substantive sections, maybe we just have About the role, Responsibilities, Requirements
