Purchasing Assistant

About The Position
As a Purchasing Assistant, you will play a vital role in supporting our purchasing department, serving as a trusted resource and key contributor to the team’s success. We’re seeking a detail-oriented and motivated professional with at least two years of related experience who thrives in a fast-paced, collaborative environment. In this role, you’ll be hands-on with a wide range of core purchasing functions, including preparing purchase orders, maintaining records, coordinating with vendors, and ensuring timely deliveries. You’ll work closely with the Purchasing Team and Project Managers, while also acting as a reliable point of contact for suppliers and internal teams. Responsibilities
- Compile requests for materials and prepare purchase orders.
- Handle inquiries and maintain accurate purchase records.
- Track incoming orders and drop ships, coordinating with the Warehouse and Accounts Payable.
- Reach out to suppliers and vendors to negotiate pricing and secure the best value.
- Follow up with outside vendors on late or open orders and collect shipment tracking details.
- Collaborate with Project Managers to place material orders.
- Assist team members with projects and tasks as assigned.
- Ensure compliance with company procedures and maintain organized documentation.
Qualifications
- College degree preferred, coursework in accounting, business, or related fields a plus.
- Minimum of 2 years of relevant experience.
- Basic knowledge of finance and accounting principles.
- Strong technology skills (Excel required); experience with purchasing systems or e-billing software is a plus.
- Excellent written and verbal communication skills, with the ability to interact effectively at all levels.
- Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize in a fast-paced environment.
- Customer service mindset with strong problem-solving and negotiation skills.

Pay
$60,000.00 - $65,000.00 per year
Schedule
- Full-time, in-person
We are currently only considering candidates who already live within commuting distance of our office. This role is not open to relocation and relocation assistance is not provided.
