Public Relations Coordinator – Talent Operations (Temporary Part-Time)
About The Department
The New York Road Runners Public Affairs department encompasses NYRR’s Public Relations, Government Affairs, and Community Engagement. Public Relations shares the stories of NYRR participants, events, and programs with media to drive awareness of NYRR’s nonprofit mission, elevating the organization and its executives as industry leaders, while also enhancing and protecting the company’s reputation. Government Relations & Community Engagement manages NYRR's relationships with local and state elected officials, and governmental agencies, as well as its relationships with community stakeholders, from our runners and clubs to like-minded organizations. Public Affairs serves as a bridge for the organization and external stakeholders to advance NYRR’s mission by building and strengthening relationships with media, government, community stakeholders, and key partners across New York City and beyond.
About The Position
Reporting to the Head of PR and the Talent Operations Lead—the PR Coordinator – Talent Operations will join the department seasonally, ahead of and during the TCS New York City Marathon, from September through early November. In this role, during lead-up working an average of 30 hours a week with race week hours increasing with potential overtime, the PR Coordinator – Talent Operations will be responsible for supporting the talent lead on the logistics for celebrity / notable runners, including all related communication with runners / representatives for: lead-up media interviews; race-week events; Expo/bib pick up; race-day VIP experience, and supporting the operations of these runners in their VIP Start and Finish locations on race day.
Job Responsibilities
- Support Talent Operations Lead in operations surrounding the celebrity runners
- Work with NYRR PR team and external PR agency to coordinate and schedule pre-race talent interviews
- Aid in coordination of celebrity swag bags; work with NYRR team on mailings and in-person delivery as needed to Expo
- Support with talent race bib/materials pickup and in-person delivery as needed
- Onsite talent staffing and managing talent movements at race week events
- Aid in drafting and organizing internal and external materials for celebrity/notable runner logistics
- Manage guest ticketing requests and distribution
- Participate in meetings and walkthroughs with PR team, event leads, PR agency, etc.
- Support other PR-related projects related to specialty runners and guests
- Start race-day – responsibilities include:
- Race morning, check-in celebrity / notable runners at midtown bus loading location; ride bus to the Verrazzano-Narrows Bridge
- Escort/staff runners in/to tent and support operations throughout the morning, coordinating with PR agency team members who are part of Celebrity / Notable Runners’ team
- Escort runners to the Start line
- Help with transport of celebrity race-day baggage
- Ride PR/Broadcast sprinter van to the Finish
- Finish Support organization of celebrity items brought from Start (e.g., baggage) and recovery items inside Celebrity / Notable Runners’ Finish tent and ensure tent is show ready for runners; assist with tracking and escorting runners and coordinating photo-ops
Experience
- 3-5 years of experience in Public Relations, production, and/or event operations required
- Experience working with celebrities / talent / principals is required
- Experience in events is required; large-scale events preferred
Education & Certifications
- Bachelor's degree from an accredited college in English, public relations, communications, journalism, sports management, or related field preferred
