About the role

The Public Lands Department is seeking a part-time Office Technician to support the Planning and Landscape Architecture Division. This position averages 28 hours per week and is non-benefitted.

Responsibilities

  • Greeting visitors and answering phone calls
  • Handling service requests and inquiries regarding Salt Lake City Public Lands
  • Aiding with pavilion and athletic field reservations
  • Sorting and distributing mail
  • Redirecting calls to the appropriate department and personnel
  • Transcribing meeting minutes
  • Answering email inquiries
  • Supporting the Planning and Design Division with administrative tasks such as data entry, report formatting, procurement tasks, proofing documents, collecting signatures, and ordering supplies
  • Preparing correspondence, technical reports, and summary data
  • Presenting reports to professional and managerial staff
  • Interpreting and relaying departmental policies to the public and employees
  • Processing applications, bids, and requests for services
  • Maintaining records and tracking systems
  • Performing other related technical duties and special projects as assigned

Requirements

  • Bilingual in English/Spanish preferred
  • Graduation from high school or equivalency and four years’ work experience as a secretary or in a related clerical position
  • Experience and training in records management, research, data entry, and retrieval from computer terminals
  • Proficiency in using computers for filing systems, word processing, and spreadsheets
  • Ability to type 60 wpm net and/or proficient in the use of computers for specified tasks
  • Knowledge of divisional operations, departmental procedures, and systems
  • Good research and mathematical skills
  • Ability to prioritize tasks and develop and manage automated filing systems
  • Ability to travel between office and other worksites or locations when necessary

Qualifications

  • Education and experience may be substituted one for the other on a year-for-year basis
  • Ability to operate various standard office equipment and other specified technical equipment
  • Well-organized, meticulous, and able to prioritize tasks
  • Good interpersonal skills and ability to communicate effectively with the public and employees

  • Excellent communication skills

  • Ability to handle multiple tasks simultaneously
