Essential Duties and Responsibilities
- Coordinate and administer all aspects of the WEDnetPA training and other grant program, including employer communication, documentation, reporting, and compliance requirements.
- Serve as a primary point of contact for employers, students, and community partners regarding workforce training programs and services.
- Provide student support through assisting with inquiries, enrollment processes, registration, orientation, and connecting students to workforce training opportunities and resources.
- Perform administrative and office support duties including scheduling, data entry, maintaining records, preparing reports, and managing departmental communications.
- Support workforce training operations, events, employer engagement activities, and special projects to ensure efficient program delivery and positive customer service experiences.
- Maintain accurate and confidential records in accordance with college, state, and WEDnetPA or other grant guidelines and procedures.
- Support the administration and implementation of grants, including assisting with documentation, data tracking, reporting, and compliance activities.
- Affiliate with grant-funded program operations by maintaining records, monitoring participant information, and supporting communication with students, employers, and funding agencies.
Work Study Tracking
- Manage and monitor student employment and work-study funding allocations to ensure accurate tracking and appropriate use of awarded funds.
- Maintain detailed records of student employment expenditures, balances, payroll activity, and funding utilization.
- Monitor student payroll activity to prevent overages and ensure compliance with approved funding levels.
- Perform routine account reviews and reconciliations related to student employment funding.
- Analyze spending patterns and provide updates regarding remaining balances, projected needs, and potential funding concerns.
- Collaborate with appropriate departments regarding funding status, payroll activity, and required adjustments.
Financial Reporting & Administrative Support
- Utilize Microsoft Excel and other systems to maintain financial tracking spreadsheets, reports, and data summaries.
- Perform data entry, reconciliation, and record maintenance to ensure accuracy of financial information.
- Prepare reports and summaries to support departmental planning, budgeting, and decision-making.
- Maintain confidential financial and participant information in accordance with college policies and procedures.
- Support additional financial and administrative projects related to workforce development funding initiatives.
- Perform other duties as assigned.
Qualifications
- Education or Work experience: Associate’s degree from an accredited institution in accounting, business administration, finance, or related field OR high school diploma/GED and two years of related experience in accounting, bookkeeping, financial administration, grant management, or data tracking.
- Proficiency with Microsoft Office Suite, particularly Excel, including spreadsheets, formulas, data tracking, and reporting.
- Certifications: Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting).
- Knowledge, Skills, Abilities: Communication skills, ability to maintain confidentiality, ability to work in a stressful and changing environment, exceptional organizational skills, ability to portray a professional and competent image, ability to use good judgment and critical thinking skills, ability to possess a high level of teamwork/cooperation, initiative, customer service, and commitment to continuous professional growth in skills and knowledge.
- Preferred: Experience with grant administration, financial reporting, reconciliation, or budget tracking, experience working with higher education, workforce development programs, nonprofit organizations, or student employment programs, strong attention to detail with the ability to analyze data, maintain accurate records, and manage multiple deadlines.

- While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear. The employee may regularly lift and/or move up to 15 pounds and occasionally lift and/or move up to 20 pounds.

Work Environment
