Philadelphia, PA | Centralized Operations | ~500 Units

About the Role

A Philadelphia-based multifamily operator is hiring a Portfolio Manager to oversee day-to-day operations across a ~500-unit portfolio of smaller, urban boutique buildings. This role blends a District Manager or Regional Property Manager mindset with the hands-on oversight of a smaller portfolio. You’ll manage multiple buildings, keep dozens of moving pieces organized, and own the entire resident lifecycle from countersign through move-out.

The company operates from a centralized office with no traditional on-site teams. Shared leasing resources, maintenance technicians, and vendors are dispatched across the portfolio, making organization, communication, and follow-through critical.

Responsibilities

  • Own the resident lifecycle from move-in and countersign through renewals, delinquency follow-up, unit turns, and move-out
  • Manage and prioritize resident requests, maintenance needs, turns, renewals, and operational deadlines
  • Dispatch and coordinate vendors and maintenance technicians—you’re managing the work, not doing it yourself
  • Build and maintain systems, checklists, calendars, and workflows to keep the portfolio running smoothly
  • Coordinate proactive resident communications, including heat alerts, storm notifications, building updates, and expectation management
  • Monitor renewals and delinquency activity and ensure timely follow-up
  • Partner with leasing and maintenance resources to keep units moving efficiently through the turn and lease-up process
  • Identify problems before they escalate and ensure issues are resolved
  • Help create consistency across multiple properties within a centralized operating model

Requirements

  • 5+ years of multifamily property management or property operations experience
  • Strong understanding of the resident lifecycle from lease execution through move-out
  • Exceptional organization and follow-through
  • Experience coordinating vendors, maintenance teams, and multiple operational priorities
  • Strong resident communication and customer service skills
  • Proactive, problem-solving mindset
  • Ability to work independently and make decisions without constant oversight
  • Comfort working from a central office with daily field presence across the portfolio

Yardi experience preferred. Elise AI experience is a plus, particularly with renewals and delinquency follow-up.

Why This Role Is Different

This is a small, lean team where you’ll have a meaningful impact on how the operation runs. You’ll help bring structure to a centralized multifamily model, improve processes, elevate the resident experience, and drive efficiency for a growing portfolio. If you thrive on organization, spot overlooked details, and enjoy managing complex workflows, this role is for you.

This is an on-site role located in Center City Philadelphia.
