This Contract position in Edison, New Jersey provides day-to-day administrative support for a portfolio of properties, partnering closely with two managers to keep operations organized, responsive, and compliant. The role blends office coordination, tenant-facing communication, financial document handling, and reporting in a fast-paced hybrid environment.
Responsibilities
- Provide administrative support to two managers overseeing a portfolio of approximately 18 to 24 properties, helping maintain smooth daily operations.
- Serve as a point of contact for tenants, vendors, and internal stakeholders by handling correspondence, answering questions, and directing requests appropriately.
- Review invoices, assist with check processing, and prepare purchase order documentation to support accurate and timely financial administration.
- Maintain organized property records, insurance documentation, and filing systems to ensure information is current, accessible, and audit-ready.
- Prepare monthly reports and assist with annual budget-related materials by compiling data and formatting documents for management review.
- Coordinate office functions, travel arrangements, meetings, and special event logistics as needed to support operational priorities.
- Track administrative tasks and follow established procedures and policies to help ensure compliance across the property portfolio.
- Support document preparation, data entry, typing, and other clerical activities using Microsoft Office applications and property-related systems.
Requirements
- Experience in administrative support, office coordination, or property management administration.
- Strong written and verbal communication skills with the ability to interact professionally with tenants, managers, and vendors.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to review invoices, manage purchase orders, and assist with check-related processing accurately.
- Solid organizational skills with attention to detail in filing, record maintenance, and document control.
- Customer service mindset and strong interpersonal skills in a fast-moving office environment.
- Ability to follow company procedures, apply policy guidelines, and handle confidential information responsibly.
