Responsibilities
- Manage high-volume invoice intake, coding, approval routing, and weekly payment processing for multiple entities using Yardi Voyager.
- Record and reconcile incoming rent receipts, wire activity, checks, and other property-related deposits on a daily basis.
- Maintain accurate ledger balances, follow up on outstanding charges, and address questions related to rent, CAM, and percentage rent.
- Support accounting operations through account reconciliations, vendor statement reviews, discrepancy resolution, and year-end 1099 preparation.
- Capture and validate tenant sales information used for percentage rent calculations, ensuring reporting is entered accurately and on schedule in Yardi Voyager.
- Oversee administrative compliance for a multi-state portfolio by tracking annual entity filings, business licenses, and related reporting deadlines.
- Maintain current insurance documentation for tenants, vendors, and contractors, and verify compliance before work or payments proceed.
- Cook up vendor setup by collecting required tax forms and compliance records, and maintain oversight of active service agreements and contract timelines.
- Track property tax obligations across multiple jurisdictions and help ensure payments for taxes, utilities, and vendor services are completed on time.
- Handle financial and portfolio information with a high level of discretion, attention to detail, and confidentiality.
Requirements
- At least 3 years of accounts payable and accounts receivable experience within commercial real estate, property management, or a similar environment.
- Demonstrated background in commercial, retail, or asset management accounting operations.
- Proficiency with Yardi Voyager, including regular use for payables, receivables, and tenant accounting activities.
- Ability to manage reporting obligations, payment deadlines, and administrative requirements across properties in multiple states.
- Strong organizational skills with the capacity to prioritize competing deadlines across a large portfolio.
- Working knowledge of property accounting concepts such as general ledger activity, accruals, month-end support, and reconciliations.
- High attention to detail, dependable communication skills, and a collaborative, team-oriented work style.
- Availability to work fully on-site in San Diego, California.
