Responsibilities

  • Customer Billing Reconcile 'submitted billings' vs 'actual billings' when discrepancies arise
  • Submit 'small project' /service billings to accounts receivable department in timely manner (monthly)
  • Correspond with clients who are in arrears via phone conversation and email
  • Update WPE's accounts receivables department and project managers with payment status weekly
  • Escalate unresolved issues to the project manager
  • Administrative Support service team and issue material requisitions
  • Set up Tender and Outlook folders; set up SP tender calendar and send electrical documents / specifications to suppliers advising of tender
  • Transfer project specific timesheets and expenses to a designated spreadsheet for submission to the project manager
  • Prepare and submit prequalification documents
  • Assist with tender takeoffs
  • Create, revise, and update Bluebeam PDF files (electrical drawings, O&M manuals, permits, and other required files)
  • Set up new projects on Sharepoint and Microsoft Office, including contracts, insurance, bonding, market recovery, etc.
  • Coordinate client security screening and orientation requirements
  • Coordinate kickoff meetings
  • Complete and submit electrical permit applications and inspection requests
  • Submit material requests to WPE procurement department thru Sharepoint for "A" materials (i.e. distribution, lighting, fire alarm, etc.)
  • Prepare shop drawing submittals, track approvals and delivery schedules
  • Create and manage project QA / QC documents
  • Submit, manage and track RFI's for field staff
  • Review and file field reports / meeting minutes on SharePoint
  • Advise Project Manager of any pressing issues
  • Project close out (i.e. O&M manuals, warranty, as built drawings, finalize permit, etc.)
  • Regular and predictable attendance
  • Other duties as assigned

Qualifications

  • Minimum 1 year of general administrative experience
  • Experience as an office assistant, office administrator or similar role is preferred
  • High school diploma or GED (preferred)
  • Essential functions of this position are to be performed at a Company-designated office or field location
  • Understand and comply with the Company's Code of Business Conduct and Ethics Policy and other industry-specific professional and ethical standards
  • Excellent organizational skills with ability to prioritize responsibilities
  • Good problem-solving skills
  • Ability to work independently as well as part of a team
  • Proficient with MS Office Suite
  • Excellent attention to detail
  • Strong file management skills (including using proper file-naming conventions)
  • Working knowledge of basic customer billing procedures

Pay
