Overview

The Project Specialist III is responsible for the direct coordination of medium Utility projects. Responsibilities include maintaining project logs and records, creating and maintaining filing systems for all documentation, auditing project files, tracking document revisions and distribution, monitoring engineering and design efforts, coordinating disciplines in resolving issues, assisting with project meetings, drafting agendas, recording meeting minutes, tracking action items, verifying project and organizational deliverables, monitoring budget, cost tracking, labor hours, procurement of goods and services, validating and reconciling invoices and payments, and assisting with developing presentations and maintaining project documentation.

Responsibilities

  • Maintains project logs and records to include critical action item list, etc.
  • Creates and maintains filing systems for all documentation.
  • Regularly audits project files to ensure compliance.
  • Tracks document revisions and distribution.
  • Maintains project coordination with project managers and project staff.
  • Coordinates disciplines in resolving issues in a timely fashion that supports the project schedule.
  • Applies knowledge and skills toward the resolution of problems and the development of sound recommendations.
  • Monitors the expediting of designs, materials, and permits to help ensure projects get into construction on schedule.
  • Aids in project meetings, drafting of agendas, recording meeting minutes, tracking action items, and ensuring task completion.
  • Verifies project and organizational deliverables.
  • Maintains budget, cost tracking, and labor hours, tracks procurement of goods and services, validates and reconciles invoices and payments.
  • Assists with developing presentations, maintaining project documentation.

Qualifications

  • BS degree in Construction Management, Project Management, Engineering, Business, or related; equivalent experience with customer approval.
  • 3-5+ years’ experience providing direct project coordination support and/or scheduling support to Program or Project Managers on electrical, civil, and/or gas Programs/Projects.
  • Scheduling, Project Management, or other related certifications, training, or demonstrated experience.
  • Adept at MS Project, Primavera (P6), Smartsheet, Procore, and/or equivalent project management planning tools.
  • Excellent communication skills; ability to effectively communicate with customers, construction contractors, land/survey, field construction advisors, internal support team, and others to ensure all parties are up to date on the project schedule.
  • Strong attention to detail; ensuring data accuracy, timely data updates, and communicating necessary updates to required parties.
  • Experience with managing/scheduling multiple projects at once, while simultaneously handling additional responsibilities.

Pay

The salary range for this position is $90,000 - $100,000. The starting salary will be commensurate with skill, education, experience, and working environment.

Work Environment/Physical Demands

This job operates in a professional office environment and uses standard office equipment such as computers and phones. Physical demands include sitting/standing for up to 8 hours per day and moving freely for up to 8 hours per day. Ability to perform these physical demands is required to successfully perform the essential functions of this job.
