The Project Specialist will play a pivotal role in bridging internal stakeholders with the partnerships & events team and broader client organization. You’ll assist in activating the client’s strategic marketing partnerships and events, from a sponsorship and event logistics standpoint. We are looking for someone who is forward-thinking, detail-oriented, an effective communicator, and well organized across multiple software tools. This person should be comfortable interfacing with executives and partners at the highest levels. A highly independent project manager with 3-5 years of experience who consistently delivers high-quality work: strong organizational, time management, and documentation skills; attention to detail, even under pressure. This is a hybrid role, which will require you to work at the Merchandise Mart office in Chicago 3 days per week. Minimum Pay USD $70,000.00/Yr. Maximum Pay USD $74,000.00/Yr. Develop and execute project plans, ensuring alignment with organizational goals. Collaborate with cross-functional teams to define project scope, objectives, and deliverables. Monitor and manage project timelines, resources, and budgets to ensure successful completion. Participate in weekly calls with sponsorship properties, providing updates on ticket requests and event logistics Ensure clear communication of project milestones, objectives, and potential roadblocks. Provide weekly updates to management team, outlining project status’ and next steps, by leveraging software tools (Monday.com, Google suite) Secure phone lines for various brand influencer needs Inventory Management Oversee all regional ticket requests via Monday.com board by properly communicating with requestors, partners and management for approvals. Share weekly updates on inventory availability, including any changes week over week Manage ticket request processes from various teams in order to ensure the actions and inventory are delivered accurately and on time. Track ticket inventory and funds to ensure assets are used most efficiently throughout the year Estimate ROI and reporting to present to Marketing leadership each quarter Organize merchandise inventory and distribute timely upon request & approval Hospitality & Events Act as a primary point of contact for internal and external stakeholders. Utilize agile project management tactics and have the ability to execute using agile methodology. Research venues, hotel options and transportation for events including staff outings, major press events and leadership offsites. Propose program budget with methodology clearly outlined Manage event budgets and all logistics related to formal communications, Demonstrate a sense of urgency, accountability, and ownership. Oversee merchandise and event ticket inventory Serve as an onsite host with timely responses with guests and property Be responsible for all technical needs related to any audio and visual needs Recap events, outlining objectives, results and ROI What You'll Bring Experience and Education: 3+ years experience in marketing / sponsorships / hospitality / project management Familiar with using monday.com, Microsoft Office suite, Google Enterprise suite of products (Docs, Sheets, Slides, Forms) Event-related travel: up to 20% Skills And Attributes Thrive in a fast-paced environment Strong flexibility to respond to changing priorities and needs Natural project manager, organized and detail-oriented Working efficiently under pressure with careful attention to detail Connecting across multiple teams Meet strict deadlines with internal and external stakeholders Timely, effective, and professional communication (both verbal and written) Ability to work autonomously in a dynamic environment Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
