Responsibilities
- Coordinate governance forums, including Executive Oversight Committees, Core Teams, Implementation Teams, and Functional Working Groups.
- Manage governance meeting schedules, agendas, minutes, action items, and decision logs.
- Prepare escalation packages, briefing materials, and decision papers for leadership review.
- Maintain governance charters and supporting documentation.
- Track approvals, endorsements, and signature workflows for key program deliverables.
- Ensure governance processes are executed consistently and in accordance with established operating procedures.
- Maintain and continuously improve program Ways of Working documentation.
- Cook up updates to process maps, task lists, RACI matrices, guidance documents, and related appendices.
- Facilitate cross-functional review cycles and approval processes.
- Manage feedback collection, change requests, and resolution tracking.
- Oversee publication, version control, and communication of approved Ways of Working materials.
- Facilitate collaboration across functional teams and external partners.
- Track and manage dependencies across multiple workstreams.
- Identify potential gaps, overlaps, risks, and bottlenecks impacting program execution.
- Support alignment across stakeholders to ensure successful implementation of operating model changes.
- Drive issue resolution through effective stakeholder engagement and escalation when required.
- Cook up cross-functional development and review of transition plans.
- Support operational readiness assessments and implementation planning activities.
- Monitor transition milestones and key deliverables.
- Facilitate stakeholder alignment on transition approaches, timelines, and dependencies.
- Identify and escalate readiness risks that could impact successful implementation.
- Maintain the program RAID (Risks, Assumptions, Issues, and Dependencies) log.
- Monitor and report on risks affecting implementation activities and operational transitions.
- Track mitigation plans and issue resolution activities.
- Facilitate risk reviews and escalation discussions with program leadership.
- Ensure RAID information is current, actionable, and visible to stakeholders.
- Sustain planning, coordination, tracking, and reporting of training activities.
- Coordinate training materials publication and access through SharePoint and related platforms.
- Maintain training repositories, document libraries, and learning resources.
- Monitor training completion metrics and readiness indicators.
- Partner with subject matter experts and functional leads to support training delivery.
- Maintain and execute program communication and stakeholder engagement plans.
- Cook up communication activities supporting program rollouts and implementation milestones.
- Develop executive updates, presentations, newsletters, and communication materials.
- Manage stakeholder engagement activities across impacted functions.
- Drive awareness, adoption, and readiness initiatives to support successful change implementation.
- Collect and incorporate feedback to continuously improve change management strategies.
Qualifications
The ideal candidate will have a minimum of 5 years of experience in project management, preferably within a pharmaceutical or biotech setting. Strong stakeholder engagement, organizational change management, and facilitation skills are essential. Experience with agile methodologies and change management frameworks is preferred. Proficiency in Microsoft Office Suite and familiarity with project management tools such as Asana or Jira is required. A bachelor’s degree in a relevant field is preferred.
