About the Role
The Project Manager is the primary company representative responsible for the overall design, implementation, direction, completion, and financial outcome of major building envelope related projects. The Project Manager proactively directs and supervises all activities related to contract administration, contract supervision, system design, submittal process, product procurement, change orders, billings, project financial projections, schedule requirements, and all overall risk management to ensure projects are completed in a quality, profitable, and safe manner.
Upon project hand-off, the Project Manager serves as the principal customer service representative and industry professional to general contractors, building owners, property managers, consultants, architects, and engineers, focusing on meeting and exceeding contract commitments, project challenges, customer needs, and expectations.
Within the company, the Project Manager primarily collaborates with project administrators, CAD administrators, estimators, business development, project operations, accounting, vendors, and subcontractors to achieve all project objectives.
Responsibilities
Client/Business Development
- Assists sales and estimating with responses to new project opportunities and presents proposals and credentials to clients if required.
- Builds effective relationships with customers, design teams, subcontractors, suppliers, and trade partners that reflect and support company core values.
- Actively participates in industry, client, and community relations to enhance company image.
- Pursues ongoing professional development training.
- Provides Sales & Estimating with current or historical information related to system bid design, including FM Assemblies, warrantable manufacturer assemblies, system details, LEED, applicable codes, and industry best practices.
Preconstruction
- Ensures timely scheduling of the project Handoff Meeting.
- Actively participates in the handoff meeting, confirming all forms are completed per policy, scopes are fully analyzed, job start obstacles are identified, and areas of scope clarification are addressed.
- Reviews contracts for bid scope and budget consistency, identifies contract language or project-specific regulations affecting profitability, confirms insurance and bond requirements, and collaborates with the client and contract administrator to finalize agreements.
- Establishes design document and submittal needs as required by contract documents and code compliance; manages clarifications through site visits, RFIs, and substitution requests.
- Directs the CAD & Submittal Administrator to achieve design document and submittal needs; reviews these with the production team and estimator before transmitting to manufacturers, design teams, or jurisdictions.
- Coordinates design documents with clients, design teams, and contractors for accurate installation and budget conformance.
- Confirms all project setup requirements are completed, including project folders, accounting and project management software setup, material testing, background checks, safety requirements, insurance submissions, labor reporting, permitting, and warranty approval submissions.
- Leads pre-construction meetings with the field operations team to review project design, labor needs, material types, installation guidelines, equipment needs, logistics, purchasing, schedule, safety procedures, and communication protocols.
Project Execution
- Implements all contractual requirements and provides contractual correspondence for assigned projects.
- Visits project sites for meetings, logistics direction, detail coordination, quality control, trade partner coordination, subcontractor management, and overall site controls; authors daily reports as required.
- Establishes and manages the project schedule with the operations team to exceed project and company goals.
- Provides the operations team with approved design documentation, including product data, installation drawings, details, and safety data sheets.
- Oversees major project purchases, reviews estimates for accuracy, and provides purchasing agents with breakdowns of purchase needs, payment terms, and delivery constraints.
- Works with the Project Administrator to author subcontracts, confirm scopes, negotiate contract prices and payment terms, and authorize subcontractor invoicing.
- Manages RFIs, design/scope revisions, change orders, and project documentation updates with the project team.
- Establishes billing requirements, builds Schedule of Values, completes pay applications, and provides backup documentation for billing submissions.
- Reviews project job costs weekly for accuracy and forecasting; provides corrections and updates as needed.
- Provides monthly project revenue forecasting and updates as required.
- Manages all required project reporting, including certified payroll, controlled insurance, time and material backup, unit cost backup, stored material documentation, photo documentation, safety reports, daily reports, quality control, and client requirements.
- Maintains a clean, accessible, and organized job folder in accordance with company policies.
Project Closeout
- Ensures all closeout requirements are provided to the client, including as-built drawings, LEED documentation, warranties, and care and maintenance programs.
- Confirms all city permits are closed and inspected as required.
- Verifies that all bonds and insurance programs are closed and settled.
- Guarantees all project accounting and labor reporting are closed out.
