About the Team
The Operations team is a key partner in enabling Biohub’s pioneering work combining frontier AI with biology to solve disease and Learning Commons’ mission to build AI infrastructure aligning how students learn with the tools shaping their experiences. Operations includes Central Tech, Finance, Marketing & Communications, People, and Real Estate/Workplace/Events/Facilities/Security (REWFS) teams. Together, they create systems, programs, and experiences empowering partners and colleagues to drive impact through strategic rigor, creativity, and deep collaboration.
About the Role
We're looking for a Project Manager, Marketing to streamline day-to-day operations. You’ll manage systems, processes, and workflows—from intake and prioritization to project tracking—ensuring creative and production work is shipped efficiently, at high quality, and at scale. This role reports to the Marketing Operations Lead within the Marketing & Communications organization. The ideal candidate thinks in systems, identifies opportunities for AI-assisted workflows, and is comfortable building processes from scratch.
Responsibilities
- Systems & Process
- Build and maintain systems (intake, project tracking, approvals, asset/file management) to keep the team running.
- Identify opportunities to automate repetitive or manual work using AI (e.g., intake triage, status reporting) and implement those workflows.
- Document workflows and playbooks to ensure processes scale beyond any single person.
- Project & Workflow Management
- Run day-to-day project management for creative and production work: intake, prioritization, timelines, and status tracking.
- Spot bottlenecks before they become blockers and redesign processes, not just patch symptoms.
- Keep multiple projects moving in parallel without letting details slip.
- Cross-Functional Coordination
- Serve as the point of contact for teams submitting creative and production requests.
- Coordinate timelines and dependencies across creative, content, and partner teams.
- Maintain dashboards and reporting on capacity and project status.
- Events Support
- Support logistics and planning for brand-related events, activations, or offsites as needed.
Requirements
- 5+ years of experience in project management, marketing operations, or a similarly operational role, ideally supporting brand, creative, or communications functions.
- Proven experience building or deploying AI-powered tools/workflows that reduced manual work (specific examples required).
- Highly organized and detail-oriented; able to catch things others miss.
- Self-motivated with strong follow-through; comfortable creating structure where none exists.
- Collaborative and adaptable across stakeholders and working styles.
- Strong written and verbal communication skills.
- Comfort with project management/collaboration tools (e.g., Notion, Airtable, Jira).
- Event planning or logistics experience is a plus.
Pay
The Redwood City, CA base pay range for this role is $138,000–$189,200. New hires are typically hired into the lower portion of the range, with growth potential over time. Actual placement is based on job-related skills and experience evaluated during the interview process.
Schedule
This is a hybrid role requiring onsite presence for at least 60% of the working month (approximately 3 days per week). Specific in-office days will be determined by the hiring manager and communicated during the interview process.
