Project Management Specialist, Pediatric Infectious Disease

Department Overview

The Department of Pediatrics employs nearly 1,000 faculty and staff who collaborate with Riley Hospital for Children and Indiana University School of Medicine to form Indiana's largest and most skilled pediatric system.

Department Specific Responsibilities

• Planner, coordinator, and monitor of program activities to ensure project goals, deliverables, and funding requirements are met.
• Serve as a liaison among Indiana University, international collaborators, regulatory bodies, funding agencies, and other stakeholders to facilitate effective communication and program operations.
• Coordinate regulatory and compliance activities.
• Develop and maintain project timelines.
• Track milestones and deliverables, manage program communications, organize meetings and events, and support operational logistics.
• Aid in budget monitoring, expenditure tracking, report preparation for leadership and funding agencies, development of program materials, and grant proposal preparation and reporting.
• Contribute to the overall success of the research program through effective planning, coordination, reporting, and administrative oversight.
• Plan, coordinate, and monitor program activities, timelines, milestones, meetings, and operational logistics to ensure successful execution of multiple research projects and program objectives.
• Coordinate regulatory submissions and compliance activities, including IRB and sponsor requirements, and serve as liaison among institutional and international partners to ensure adherence to policies and deadlines.
• Prepare program reports, research summaries, stakeholder communications, and progress reports for leadership and funding agencies; maintain program documentation and informational materials.
• Support grant administration activities, including identifying funding opportunities, coordinating proposal development, tracking submission requirements, assisting with budget preparation, and preparing grant-related reports.

General Responsibilities

• Manage medium to large projects, from start to finish, ensuring on-time completion within budget.
• Analyze, track, forecast, and report on project metrics and shortfalls.
• Facilitate efforts of project teams consisting of various staff and hourly employees.
• Communicate ongoing changes in tasks, goals, or performance.
• Collaborate to ensure that project objectives are achieved within established time frames.
• Participate in client meetings, vendor/contract decisions, and development of project requirements and specifications.
• Provide guidance and support to less experienced peers.

Qualifications

• Required: Bachelor's degree in relevant field.
• Required: 2 years of relevant experience.
• Skills: Ability to drive multiple projects to successful completion, demonstrates project management skills, proficient communication skills, excellent organizational skills, excellent collaboration and team building skills, demonstrates time management and priority setting skills, highly thorough and dependable.

Pay

$55,000.00 - $65,000.00 per year.

Schedule

Sedentary work as well as periods of time moving around an office environment and the campus.
