About the role

Convergint is seeking a full-time Project Cost Administrator to join our dynamic team. This role involves coordinating legal reviews of contracts, setting up jobs in Spectrum, reviewing and controlling project costs, assisting with monthly financial forecasts, and preparing progress billing.

Responsibilities

  • Covers legal reviews and signatures for various projects, including complex ones.
  • Coordinates COI’s and OCIP/CCIP documentation, if needed.
  • Books new projects and change orders, and notifies internal stakeholders.
  • Maintains and monitors job costs, identifying anomalies and providing feedback.
  • Reviews monthly project (WIP) reviews with project managers, addressing any issues.
  • Aids in monthly project billings, ensuring customer requirements are met.
  • Works with project managers and accounts receivable team to ensure timely invoice payments.
  • Manages and tracks subcontractor invoices against monthly forecasts.
  • Monitors open purchase order reports, maintaining accuracy and comparing to forecasts.
  • Assists in creating and monitoring monthly revenue and gross margin forecasts.
  • Prepares and sends customer surveys monthly.
  • Mentors and trains less experienced staff.

Requirements

  • Strong proficiency in financial software, including invoice tracking, report running, data entry, etc.
  • Education: College degree, trade school, or equivalent experience.
  • Minimum 5 years of bookkeeping or accounting experience.
  • Prior experience in project cost accounting and construction environments is preferred.
