About the role
The Project Coordinator is responsible for maintaining, reconciling, and monitoring project plans, project schedules, budgets, and related materials to ensure successful achievement of organizational initiatives. The scope of work includes organizing, attending, and participating in stakeholder meetings, documenting and following up on important actions and decisions from meetings, generating and analyzing data, and preparing necessary presentation materials, reports, project plans, and related work.

Responsibilities
- Plans, coordinates, and participates in the implementation of activities including seminars, conferences, workshops, fairs, and other related programs.
- Develops and coordinates new ideas and concepts for program themes.
- Coordinates all program logistics, materials, and resources.
- Provides work-lead direction and/or trains others.
- Plans, coordinates, and administers activities of assigned programs, including developing, implementing, and supervising related procedures, processes, services, and systems.
- Trains employees in proper methods and procedures and ensures correctness of work.
- Advises Executive Sponsors on the status of current activities and additional or expanded program requirements; makes recommendations for solutions to identified problems.
- Monitors and evaluates program effectiveness, investigates trends, and recommends or implements modifications to improve program effectiveness.
- Coordinates and/or participates in public or agency-facing activities, including preparation and release of documents, reports, and related materials; responds to inquiries.
- Manages access to hospital regulatory and compliance software, implements the hospital’s policy management tools and committees.
- Maintains liaison with other programs, offices, and departments to coordinate program business and accomplish objectives.
- Interfaces with external organizations such as the Joint Commission and California Department of Public Health (CDPH) to enhance cooperative efforts and utilize available resources.
- Assists in the preparation of budgets; monitors, verifies, and reconciles expenditure of budgeted funds.
- Prepares reports and conducts preliminary analyses, providing input into program recommendations or conclusions.
- Maintains files and records pertaining to licenses, permits, and reports for clinical locations and the hospital.
- Performs other related and incidental duties as assigned or needed.
- Performs all duties and responsibilities in accordance with the C-I-CARE Standards of the Hospital.
Requirements
- Baccalaureate degree required.
- Minimum of two (2) years of increasingly responsible administrative support experience with a focus on supporting projects, data analysis, and development of presentation materials.
Skills
- Knowledge of general practices, program, and/or administrative specialty.
- Proficiency in the use of Microsoft Office Suite applications and standard office equipment.
- Knowledge of English grammar, spelling, and punctuation.
- Familiarity and understanding of project management principles and practices.
- Ability to take initiative and independently plan, organize, coordinate, and perform work in situations with numerous and diverse demands.
- Ability to learn, interpret, and apply a wide variety of policies and procedures.
- Ability to organize and plan work and projects, handling multiple priorities.
- Ability to make independent decisions and exercise sound judgment.
- Ability to compile, write, and present reports related to program or administrative specialty.
- Ability to communicate effectively, both orally and in writing, using C-I-CARE.
- Ability to establish and maintain effective working relationships.
Pay
Generally starting at $42.24 - $54.60 per hour. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
