The Project Coordinator supports Project Managers and Program Managers with the planning, coordination, tracking, and execution of technology projects. This role maintains accurate project documentation, schedules, reporting, and communications to help stakeholders monitor progress, identify risks, and address issues early. The position is essential to maintaining project structure and supporting successful delivery from initiation through closeout.

Responsibilities

  • Support project planning, coordination, tracking, and follow-through from initiation through closeout.
  • Maintain project schedules, milestones, deliverables, action items, decision logs, risk registers, and dependency trackers.
  • Coordinate project meetings, prepare agendas and materials, capture notes and decisions, distribute follow-ups, and monitor completion.
  • Prepare recurring project status updates, dashboards, and project health reports.
  • Track project performance against scope, schedule, budget, resource plans, and client commitments.
  • Identify and escalate project variances, risks, and potential delivery issues.
  • Coordinate information among project management, solutions architecture, engineering, logistics, finance, vendors, subcontractors, and client stakeholders.
  • Support project financial administration, including purchase orders, invoices, time and expense tracking, budget updates, and forecasts.
  • Maintain organized, complete, and audit-ready project records using approved systems.
  • Assist with resource coordination, onboarding, site readiness, logistics tracking, and project communications.
  • Identify missing information, schedule conflicts, unresolved decisions, and delivery risks and coordinate appropriate resolution.
  • Support project closeout by confirming deliverables, documentation, financials, lessons learned, and handoffs.
  • Contribute to continuous improvement of PMO processes, templates, reporting standards, and project management practices.

Requirements

  • 2–4 years of experience in project coordination, project administration, or a related field; equivalent experience may be considered.
  • Experience coordinating multiple projects or stakeholders with competing priorities.
  • Knowledge of project management fundamentals, including schedules, milestones, dependencies, risks, and status reporting.
  • Strong organizational, time-management, and communication skills.
  • Ability to collect, validate, organize, and summarize project information accurately.
  • Proficiency with Microsoft Excel and Microsoft 365 tools.
  • Experience with Smartsheet preferred but not required.
  • Ability to identify gaps, ask questions, investigate issues, and escalate concerns appropriately.
  • Strong collaboration skills and a client-focused approach.
  • Self-motivated and able to work independently in a fully remote environment.
  • Proactive mindset with an eagerness to learn and grow within project management.
  • Must be based in the United States.
