This position can be home based. The Association offers many resources to help you maintain work-life harmonization through your changing needs and life situations. Responsibilities
- Provide high-level administrative support to the department’s Senior Management team, including calendaring, expense management, and meeting coordination.
- Manage various databases, perform research, maintain and update information, and produce routine and special reports as needed.
- Prepare correspondence, presentations, and reports to support multiple initiatives.
- Present project needs and activities between team members, managers, and other partners.
- Provide executive administrative support to assigned executive staff, including calendaring, correspondence, reports, meeting preparation, travel coordination, expense management, and project coordination.
- Coordinate schedules for project activities with staff and external partners, craft and submit documentation for internal project resources, and update and maintain project documents, reports, and tracking spreadsheets.
- Coordinate logistics for assigned meetings and provide day-of-event support as needed.
- Provide ongoing support across the QORA team for any special projects and activities identified by team leadership.
Qualifications
- High School Diploma or equivalent.
- 3 years of administrative or coordination experience.
- Good written and verbal communication skills.
- Strong time management skills with the ability to meet deadlines.
- Strong organizational and multi-tasking skills.
- Comprehensive Microsoft Office suite skills including Word, Excel, PowerPoint, and Outlook.
- Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers, and the public.
- Demonstrated ability to organize and manage multiple projects simultaneously, prioritize tasks, and meet deadlines with keen attention to detail.
Preferred Experience:
- Some college or bachelor’s degree.
- Experience with Smartsheet, SharePoint, Outlook, and virtual meeting platforms (e.g., Zoom, GoToWebinar).
