About the role

Moffatt & Nichol is seeking a Part Time Project Assistant to join our Chipley, FL office. The ideal candidate will assist project managers in various operational and administrative tasks related to local district transportation projects.

Responsibilities

  • Document proofreading and editing
  • Document archiving / document management – Project and office
  • Organize and support regular technical meetings, assist in taking meeting minutes when appropriate
  • Be proactive in supporting Project Manager (PM) and Assistant Project Manager (APM) on GEC contract
  • Pursuit support: BST10 Smart Client
  • Setup opportunity with assistance from PD, PM and/or Project Administrator
  • Submit contracts for review
  • Edit draft teaming agreements as directed by PM for legal review
  • Maintain on-call contract sheet, maintain costing sheets with correct rates for team to use for cost estimates, track overall contract budget
  • Support with developing and updating project plates for marketing
  • Support with retrieving and updating resumes for pursuits
  • Project setup support
  • Project execution support
  • Organize and set up project meetings
  • Maintain electronic files
  • Prepare meeting notes, support distribution
  • Prepare transmittals
  • Assist PM in the review of subcontractor invoices, review of the prebills, preparing progress reports, both financially and project related
  • Assistance with QMS items: project folder set-up, preparation of Project Plans and Project Quality Plans
  • Work share and coverage as needed with other project administrator staff

Qualifications

  • College courses related to business or project management
  • 2+ years of experience in Project Administration
  • 2+ years of experience with FDOT projects
  • Microsoft Office Professional skills with proficiency in Word, Excel and PowerPoint
  • Knowledge of Adobe Acrobat Professional, Microsoft Windows, Explorer, Teams and/or Zoom
  • Excellent communication skills (verbal, written, and presentation)
  • Self-motivated, highly organized, positive, and takes pride in work and being an integral part of a committed team
