Key Responsibilities
- Provide general administrative support for company projects.
- Organize and maintain project files, filing systems, and project communications.
- Track project status and prepare monthly progress reports; maintain project tracking systems.
- Update record copies, engineering/project documentation, and change records.
- Provide research support and information to assist with project-related inquiries.
- Record meeting minutes for Project Manager and team meetings.
- Answer and route incoming phone calls.
- Collect, organize, and distribute client bills and invoices.
- Prepare memos, correspondence, reports, and other project documentation.
- Cook up travel arrangements and internal services supporting project needs.
- Schedule client interviews, presentations, and project-related meetings.
- Maintain project calendars, rosters, and scheduling updates.
- Perform data entry for project contact lists and execution plans.
Requirements
- A High School Diploma or GED.
- Prior office or clerical experience preferred.
- Proficiency in Microsoft Word, Excel, Access, and PowerPoint.
- Strong organizational and time-management skills.
- A high attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively within a team environment.
- Strong customer-service/client-service mindset.
- Experience supporting multiple managers or project teams preferred.
