About the role

The Project Assistant (Administrative) supports the Project Manager and project team by providing administrative support and ensuring compliance with company procedures and client requirements. Key responsibilities include preparing spreadsheets and reports, managing documents, coordinating meetings, and adhering to safety protocols.

Essential Duties and Responsibilities

  • Administrate project contracts and prepare computer-generated spreadsheets and reports.
  • Prepare and present documentation, including correspondence, matrices, and records relevant to project site operations.
  • Support the Project Manager in administrative tasks, such as document control, electronic file management, and email management.
  • May be required to learn and use software platforms for specific projects, such as payroll and subcontractor documentation.
  • Plan and schedule project site meetings and events.
  • Comply with company policies, procedures, and safety programs.
  • Work full-time on-site as required by upstream clients.

Qualifications

  • One to three years of receptionist or administrative experience in a professional setting.
  • One to three years of customer service experience.
  • A high school diploma or equivalent.
  • Experience with Microsoft Office Word and Excel.
  • Familiarity with Lotus Notes is preferred.
  • An experienced typist.
  • Excellent written and verbal communication skills.
  • Strong organizational and customer service skills.
  • Ability to manage multiple projects and tasks.
  • Technical skills in receptionist and related assignments.
  • Integrity in work assignments.
  • Attention to detail and initiative.
  • Commitment to company values.

Preferred Education and Experience

One to three years of receptionist or administrative experience in a professional environment. One to three years of customer service skills. High School Diploma or equivalency.

Physical Demands

  • Sit, see, talk, and hear.
  • Use hands to finger, handle, or feel objects, tools, or controls.
  • Reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl.
  • Lift and/or move up to twenty-five (25) pounds.
  • Specific vision abilities include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Regularly commute to field locations.
