About the role
As Project Administrator III, you will provide support to the project staff by assisting in the day-to-day operations of the project team on projects valued at $10M–$30M with 50–200 onsite employees.
Responsibilities
- Ensure accurate employee time tracking on a weekly basis, including obtaining supervisor approval or other documentation for any timesheet discrepancies and timely submission to the Payroll processor.
- Properly maintain and procure office supplies with manager approval.
- Assist in the new hire onboarding process and processing of IT hardware and permissions requests as necessary.
- Maintain electronic project files.
- Assist the team in invoice coding and approvals as requested.
- Request and track subcontracts, change orders, purchase orders, and subcontractor insurance certificates.
- Prepare and submit client billings and lien releases.
- Gather and submit any client-specific contractual requirements (e.g., city license, contractor’s license, certificate of insurance, emergency phone list, safety program, drug awareness program, SDS sheets for jobsite).
- Assist the project team with applying for permits and scheduling inspections (if applicable).
- Assist with the development of project documentation—daily reports, 4-week look-ahead, labor forecast, etc.
- Compile submittal, specification, and O&M/start-up books as requested by project managers.
- Review and distribute documents/correspondence to field personnel and other key parties as needed.
- Effectively and accurately communicate relevant project information to the project team.
- Reconcile tool and rental equipment lists (if applicable).
- Manage the parking pass process (if applicable).
- Perform other administrative functions as requested.
Requirements
- High School diploma or GED equivalent.
- 3+ years of administrative experience.
- GMP billing experience.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Ability to multi-task and strong organizational, communication, and interpersonal skills.
- Effective verbal and written communication skills.
- Detail-oriented with a willingness to tackle various ongoing projects in a fast-paced environment.
- Familiarity with the industry and the Company’s competitors.
Preferred Qualifications
- Construction administrator experience.
- College-level coursework and/or two years’ experience in construction management.
- Construction billing experience, with AIA billing/Textura preferred.
Travel
0–5% of time will be spent traveling to job site(s)/office location.
Work Environment
- Prolonged periods of sitting at a desk and working on a computer.
- Climbing stairs.
- Remaining in a stationary position, often kneeling, standing, or sitting for prolonged periods.
- Repeating motions that may include the wrists, hands, and/or fingers.
- Quiet environment.
- Light work that includes adjusting and/or moving objects up to 20 pounds.
Pay
USD $27.92 – USD $37.29 per hour.
