Key Responsibilities
- Maintain and organize all project documentation including contracts, RFIs, submittals, change orders, and permits
- Track and process subcontracts, purchase orders, and vendor agreements
- Avoid inaccurate filing and version control of project records
- Aid in tracking budgets, invoices, and project cost reports
- Manage subcontractor pay applications, lien releases, and insurance compliance
- Support accounting with billing, cost reporting, and financial documentation
- Coordinate communication between project managers, field teams, subcontractors, and vendors
- Schedule meetings, prepare agendas, and track action items
- Monitor project schedules and assist in keeping deliverables on track
- Ensure adherence to safety regulations, labor compliance (e.g., certified payroll), and contract requirements
- Maintain accurate compliance documentation including permits and regulatory filings
- Prepare reports, meeting minutes, and status updates for stakeholders
- Assist with bid packages, vendor coordination, and material procurement
- Support project closeout activities (final documentation, warranties, etc.)
- Act as a key administrative liaison between office and field teams
Qualifications
- 2–4+ years of experience in construction administration, project coordination, or related role
- Strong understanding of construction processes, contracts, and documentation
- Proficiency in Microsoft Office (Excel, Word, Outlook) and construction software (e.g., Procore, Bluebeam)
- Excellent organizational, communication, and multitasking skills
- Ability to manage multiple projects and deadlines simultaneously
