Responsibilities
- Maintain and organize project documentation, including contracts, submittals, RFIs, change orders, and correspondence, ensuring records are up to date and accessible.
- Support the project team by tracking action items, meeting minutes, and deadlines, and distributing communications to relevant stakeholders in a timely manner.
- Aid in the preparation and submission of project reports, monthly invoices, purchase orders, and other administrative deliverables as required by project management.
- Serve as the primary administrative point of contact between field teams, subcontractors, and the project management office for documentation and coordination needs.
- Review and process incoming project documents for completeness and compliance, following up with internal teams and external parties to resolve discrepancies.
Requirements
- Bachelor’s degree in Construction Management, Engineering, Business or a related technical discipline, preferred
- 3+ years of experience in project administration, scheduling, project controls, or a related field
- Experience supporting project managers in a fast-paced construction, engineering, or utilities environment is strongly preferred
- Familiarity with project lifecycle documentation and standard administrative processes, preferred
- Strong organizational skills with attention to detail and data integrity
- Proficiency in Excel and familiarity with scheduling or project controls software (e.g., Primavera P6, MS Project, or similar)
- Excellent communication skills for working with field personnel, schedulers, and management
- Ability to work independently and manage multiple priorities under tight deadlines
